JOB TITLE: Receptionist

POSITION SUMMARY
This position provides communication, reception services and clerical support to the organization while maintaining confidentiality and professionalism. The position operates the telephone switchboard, answers and triages calls, manages the voicemail system, receives visitors and performs clerical duties as assigned by the Supervisor.
WORKING RELATIONSHIPS
REPORTS TO : Access Supervisor
SUPERVISES : None
INTERPERSONAL RELATIONSHIPS : All comments, actions and behaviors have a direct effect on the publics perception of Hospice Austin. Interactions with patients, family members, physicians, referral sources, visitors, co-workers, etc. must be in a manner that is courteous, respectful, cooperative and professional. This behavior should promote an atmosphere of teamwork and positive relations.
ESSENTIAL FUNCTIONS
- Answers multi phone lines, triages and directs calls
- Programs and maintains voice mail system
- Orients staff to communication systems, pagers, voice mail
- Provide patient information to staff and vendors on request
- Provides information to callers regarding services and programs
- Provides reception services and support
- Greet, sign in and direct visitors
- Maintains lobby and reception area
- Other duties as assigned
- Provides clerical services and support
- Responsible for outgoing mail
- Distributes incoming mail
- Types correspondence
- Order office supplies bi-weekly
- Order business cards for staff
- Reserve conference rooms for meetings
- Update staff phone list
- Sending urgent death reports to the team
Qualifications
- High School diploma or GED required.
- One year receptionist or administrative experience
- Organization, Multitasking, Communication, Professional phone etiquette
- Compassion and Empathy (important in hospice environment).
PREFERRED SKILLS:
- One year receptionist or administrative experience
- Strong customer service and communication skills (healthcare preferred)
- Ability to multitask in a fast-paced environment
- Computer skills (Microsoft online, email and EMR systems).
