SUMMARY:
The Benefits Coordinator serves as the primary liaison between CTHCA and the Benefits Office and is responsible for coordinating and administering assigned benefit, leave, and benefit engagement functions for CTHCA. Primary responsibilities include calculating and maintaining team member leave balances, verifying Years of Service within CTHCA, administering and tracking Leaves of Absence and Colville Family Medical Leave (CFML), maintaining accurate information within the Human Resources Information System (HRIS), develops benefit communications and marketing campaigns, and coordinating benefit-related information between CTHCA, team members, and the Benefits Office. The position also provides support in other areas of Human Resources as assigned.
This position requires a dependable, organized, creative, and detail-oriented professional who demonstrates a high degree of accuracy, takes initiative, follows matters through to completion, manages competing priorities and deadlines, and consistently communicates with professionalism, discretion, confidentiality, and sound judgment.
Qualifications
ESSENTIAL FUNCTIONS:
Serve as the primary liaison between CTHCA and the Benefits Office, coordinating benefit-related information, documentation, questions, changes, and other matters affecting CTHCA team members.
Calculate, review, reconcile, and maintain team member leave balances and ensure leave information is accurately and timely entered and updated within the HRIS.
Research, calculate, and verify Years of Service within CTHCA using employment records, HRIS information, personnel documentation, and other appropriate sources; resolve discrepancies and maintain accurate service information.
Administer and track Leaves of Absence and Colville Family Medical Leave (CFML), including processing requests, reviewing documentation, calculating leave availability and usage, monitoring deadlines, processing modified duty requirements, communicating with team members and supervisors, and coordinating return-to-work activities.
Maintain complete, accurate, confidential, and current leave, service, benefit, and related Human Resources records within the HRIS and other applicable tracking systems.
Coordinate with Payroll, the Benefits Office, and Human Resources regarding leave status, benefit continuation, payroll impacts, applicable deductions, and other matters associated with team member leave.
Serve as a resource to team members regarding assigned benefit and leave processes, providing clear information regarding available resources, procedures, documentation requirements, timelines, and appropriate points of contact.
Develop and coordinate benefit communications, educational materials, presentations, and internal marketing campaigns designed to increase team member awareness, understanding, and appropriate utilization of available benefit programs and resources.
Collaborate with Recruitment and Human Resources to promote CTHCAs benefit offerings to applicants and prospective team members through recruitment materials, campaigns, hiring events, orientation, and other recruitment initiatives.
Coordinate and communicate open enrollment activities, including benefit information, timelines, enrollment requirements, meetings, educational opportunities, reminders, and applicable deadlines.
Plan, coordinate, and promote benefit and wellness initiatives, benefit fairs, educational opportunities, events, campaigns, and other activities designed to encourage team member participation and utilization of available benefits and wellness resources.
- Track and evaluate benefit and wellness engagement, leave activities, and other assigned functions to identify trends, recurring concerns, communication needs, and opportunities for improvement; provide reports and recommendations as appropriate.
- Develop and maintain benefit and leave communications, forms, tracking tools, reports, spreadsheets, procedures, and other resources necessary to support effective administration and communication of assigned functions.
- Coordinates and supports organizational safety initiatives, including safety campaigns, training, education, and other activities designed to promote a safe and healthy work environment.
- Serves as the Human Resources representative on the Safety Committee and assists with coordinating Human Resources involvement in safety-related activities and initiatives.
- Documents, tracks, and follows up on reported safety concerns to help ensure concerns are appropriately communicated, addressed, and resolved across the CTHCA.
- Maintain confidentiality of team member medical, benefit, leave, personnel, payroll, and other sensitive information and exercise professionalism, discretion, accuracy, and sound judgment.
- Provide support and assistance in other areas of Human Resources, including special projects, HRIS activities, reporting, audits, employee communications, recruitment, onboarding, team member engagement, and other departmental functions as assigned.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Knowledge of, or ability to learn and appropriately administer, employee leave programs, leave accruals, Leaves of Absence, CFML, Years of Service, and related Human Resources processes.
- Knowledge of general Human Resources practices, employee benefits, recordkeeping requirements, confidentiality standards, and employee service principles.
- Ability to accurately calculate leave accruals, balances, usage, service dates, Years of Service, and other time-based Human Resources information.
- Strong mathematical and analytical skills with demonstrated accuracy when performing detailed calculations and reconciling information.
- Ability to research employment history and service records using information from multiple sources and identify discrepancies, gaps, or inconsistencies requiring resolution.
- Ability to understand, interpret, explain, and consistently apply CTHCA policies, procedures, leave requirements, and established Human Resources practices.
- Ability to administer and track multiple Leave of Absence and CFML cases simultaneously while monitoring individual deadlines, documentation requirements, leave usage, and return-to-work dates.
- Knowledge of, or ability to learn, CTHCA benefit programs and resources sufficiently to effectively communicate available options and direct team members to appropriate resources.
- Ability to translate detailed or technical benefit information into clear, understandable, and engaging communications.
- Ability to develop professional benefit communications, educational materials, presentations, marketing campaigns, and other informational resources.
- Creativity and initiative in developing benefit engagement, wellness, recruitment, and educational campaigns designed to increase awareness and participation.
- Ability to plan, organize, coordinate, promote, and evaluate benefit fairs, wellness activities, open enrollment activities, educational sessions, and other benefit-related events and initiatives.
- Strong written and verbal communication skills with the ability to communicate professionally and effectively with team members, applicants, supervisors, managers, Benefits Office staff, Payroll, vendors, and other internal and external contacts.
- Ability to recognize leave, benefit, or employee matters requiring additional review, direction, or approval and appropriately involve the Director of Human Resources.
- Excellent attention to detail and demonstrated ability to identify errors, inconsistencies, incomplete information, and discrepancies.
- Strong organizational and time-management skills with the ability to work independently, manage competing priorities, meet deadlines, and follow matters through to completion.

- Ability to establish and maintain effective working relationships and serve as a reliable liaison between CTHCA, the Benefits Office, and other departments, offices, vendors, and external contacts.
- Proficiency with HRIS systems, Microsoft Office applications, databases, spreadsheets, presentation software, and other technology used to administer, calculate, track, communicate, and report Human Resources information.
- Ability to plan, organize, and prioritize work processes in a high-volume environment in order to meet schedules and timelines.
- Ability to communicate professionally in written, verbal, and non-verbal format while portraying a friendly tone, appropriate word choice, and professional body language.
- Regular travel may be required throughout the Colville Indian Reservation, with additional out-of-town travel as needed.
- Valid Washington State Drivers License is required and must be insurable.
PHYSICAL REQUIREMENTS:

- Speech and hearing ability to carry on telephone and in-person conversations, conduct presentations and benefit education, and hear and grasp verbal communications and equipment prompts.
- Ability to drive in adverse weather conditions.
MINIMUM QUALIFICATIONS:
- Associate degree in Human Resources, Business Administration, Communications, Marketing, Healthcare Administration, or a related field; or an equivalent combination of education and related experience, as determined by CTHCA, may be considered.
- Two (2) years of Human Resources, benefits, payroll, case management, or related experience.
- Demonstrated experience performing detailed calculations, maintaining records, reconciling information, or working with information requiring a high degree of accuracy.
- Demonstrated experience using computer systems, databases, spreadsheets, or similar electronic systems to enter, maintain, review, track, or reconcile information.
- Demonstrated experience developing professional written communications, informational materials, presentations, marketing materials, or similar content.
- Demonstrated ability to maintain confidential and sensitive information.
- Valid driver's license and ability to travel throughout the Colville Indian Reservation and, as required, out of town.
TRAINING:
- HIPAA and Privacy training within 90 days of employment and as required throughout employment.
- CFML, leave administration, HRIS, Benefits Office processes, benefit programs, and other position-specific training as required.
