Position Summary:
The Warehouse Tech, HIM supports the secure storage, organization, and retrieval of medical, financial, and administrative records within the Trinity Health Records Storage Warehouse. This role maintains accurate database entries, tracks the movement of incoming and outgoing records, and ensures adherence to established retention and destruction policies. Working collaboratively within the Health Information Management team, the Warehouse Tech follows standardized processes that protect confidentiality, maintain data integrity, and support efficient departmental workflows. As part of a detail-focused, compliance-driven environment, this position helps ensure records are handled safely, efficiently, and in accordance with all regulatory and organizational requirements.
Key Responsibilities:
- Maintain organized storage systems for medical, financial, and administrative records, ensuring proper classification, tracking, and accessibility.
- Process incoming and outgoing record requests by retrieving, staging, delivering, or returning materials according to established HIM procedures.
- Update databases and tracking systems to reflect accurate record locations, movements, and retention timelines.
- Monitor and support compliance with Trinity Health’s Destruction Policy by identifying and preparing records eligible for secure disposal.
- Operate approved warehouse equipment and office machines to move, lift, scan, or index records safely and efficiently.
- Collaborate with HIM and departmental staff to resolve record discrepancies and improve overall records management workflows.
Qualifications
Licenses and Certifications Required:
- Current driver’s license with clean record
Educational Requirements:
- High school diploma or GED preferred
Experience Requirements:
- Previous experience using a Genie/mechanical lift equipment preferred
- Office machine experience preferred
Special Skills or Training Requirements:
- Filing skills required
- Computer skills required
- Attention to detail and accuracy required
- Medical terminology knowledge preferred
- Database management knowledge preferred
Physical Requirements:
The Warehouse Tech, HIM frequently stands, walks, bends, reaches, and climbs short step ladders while handling stored records. The role requires lifting and moving boxes, files, and materials, as well as operating mechanical lifts or carts in confined warehouse aisles. Adequate vision, hearing, and manual dexterity are essential for reading labels, using office equipment, and performing detailed filing and data entry tasks.
Environmental Requirements:
This position works within a records warehouse environment that may include varying temperatures, dust, and exposure to stored materials and shelving equipment. Work involves navigating high-density storage areas and operating mechanical or electronic equipment while following safety and HIPAA privacy protocols. Occasional travel between storage locations or departments may be required to support record transfers or special projects.
