Position Summary

The Senior Human Resources Generalist owns the regular payroll cycle and manages day-to-day recruiting, onboarding, new employee orientation, and training. Supporting employees and hiring managers across Education Success Network, EnCompass: Resources for Learning, and The Norman Howard School, this position ensures accurate, timely payroll, resolves employee questions, and maintains reliable HR records and processes. The role requires independent judgment and coordination with the Director of Human Resources on sensitive matters and required approvals.

Job Responsibilities

Payroll and HR Systems

- Own end-to-end processing of each regular payroll cycle across multiple entities and pay groups, from collecting and validating inputs through submission and post-payroll reconciliation, following established review and approval requirements.

- Validate timecards, earnings, stipends, deductions, benefit contributions, and approved employee changes; reconcile payroll reports and research discrepancies before submission.

- Serve as the primary contact for routine payroll questions; investigate discrepancies, document corrections, and coordinate with Finance and the payroll provider to resolve processing issues.

- Maintain payroll calendars, procedures, Paycom records, and supporting documentation. Provide reconciled data and assist with payroll reporting and special payroll projects as needed.

Recruiting and Candidate Coordination

- Manage recruiting activities with hiring managers, including requisition creation, job postings, applicant tracking, HR phone screens, interview scheduling, and candidate communications.

- Document hiring-manager decisions and recruiting communications in the applicant record. Prepare offer letters and employment packages after required compensation and hiring approvals.

- Coordinate references, background checks, education verifications, and role-specific credentials, including teaching certifications and required program documentation.

Onboarding and New Employee Orientation

- Coordinate onboarding from accepted offer through the initial employment period, tracking required paperwork, employment eligibility verification, system setup, and outstanding items.

- Lead new employee orientation covering organizational practices, HR resources, benefits information, payroll, timekeeping, and employee self-service.

- Partner with supervisors and IT to coordinate first-day readiness and follow up with new hires to address questions and incomplete onboarding tasks.

Training and Employee Support

- Develop and deliver practical employee and manager training on Paycom, timekeeping, onboarding, and HR procedures; maintain job aids and track assigned training completion.

- Assist employees with Paycom navigation, access issues, and self-service tasks, coordinating with IT or the provider when additional support is needed.

- Travel off-site approximately 10% of the time to meet with employees, answer questions, provide training, and assist with HR documentation.

- Provide responsive employee service and explain established policies consistently, coordinating with the Director of Human Resources as needed.

HR Administration and Compliance Support

- Maintain personnel records, audit employee data, and assist with employment verifications, employee changes, separations, and required HR reporting.

- Support benefits administration, leave-of-absence administration, and employee relations activities as needed, under the direction of the Director of Human Resources.

- Track required credentials and records for applicable school and program roles, including School Aged Child Care documentation and driver approvals.

- Identify process improvements, maintain written procedures, and support other HR projects and duties as assigned.

Knowledge Skills and Abilities

- Strong payroll knowledge, accuracy, and analytical skills, with the ability to investigate discrepancies and explain payroll information clearly.

- Working knowledge of applicable employment and payroll requirements, HR practices, and confidential record management.

- Strong communication, training facilitation, and employee service skills; ability to work effectively with employees and managers from diverse backgrounds.

- Ability to manage competing deadlines independently, exercise discretion, and recognize when an issue requires escalation or approval.

- Proficiency with HR and payroll systems, Microsoft Office, and Excel for data review, reconciliation, and reporting.

Minimum Qualifications

- At least five years of hands-on payroll processing experience, including payroll review, reconciliation, and resolving employee payroll issues. General HR experience alone does not substitute for this requirement.

- Demonstrated experience in recruiting, new hire onboarding, employee training, and new employee orientation.

- Bachelor's degree in human resources, business, or a related field.

- Ability to travel to off-site locations approximately 10% of the time; reliable transportation and a valid driver's license.

Preferred Qualifications

- Paycom experience is preferred, not required. Experience with other integrated HR and payroll systems is welcome.

- Experience supporting multiple entities or pay groups, preferably in a nonprofit, education, or school setting. SHRM-CP, PHR, or payroll certification is a plus.
