About this role
Principal Duties and Responsibilities:
- Coordinate day-to-day administrative and operational activities for the Technology and Facilities departments, including departmental calendars, leadership meetings, recurring operational reviews, travel, conferences, and departmental events.
- Assist with planning, organizing, and tracking departmental priorities, initiatives, projects, timelines, milestones, deliverables, assigned action items, and follow-up tasks.
- Prepare and maintain meeting agendas, presentations, reports, meeting summaries, operational dashboards, performance metrics, procedures, departmental documentation, and operational records.
- Support departmental communications, change management efforts, technology training sessions, workplace communications, and onboarding activities for new team members.
- Assist with departmental budget and expense tracking, invoice processing, purchase requests, vendor payments, cost allocation, bill reconciliation, and related financial records.
- Coordinate vendor meetings, contract renewals, service agreements, software licenses, maintenance contracts, facilities vendors, and bids for select services as directed by the SVP of IT.
- Coordinate workspace requests, facilities logistics, maintenance requests, office improvement projects, emergency preparedness activities, storage records, and related administrative support work.
- Assist with data governance initiatives, including coordination of data stewardship activities, documentation of data-related processes, tracking of governance action items, and support for data quality, retention, and compliance efforts.
- Assist with technology asset inventory, equipment tracking, hardware orders, software renewals, and technology procurement.
- Identify and recommend opportunities to improve departmental processes, organization, service delivery, and internal operations.
- Perform other similar and related duties as required.
MINIMUM QUALIFICATIONS:
- Bachelor's degree in Business Administration, Operations Management, Information Systems, Management, or a related field.
- 5-7 years of progressive experience supporting business operations, administrative operations, project coordination, facilities, technology, or related functions.
- Experience coordinating multiple projects, priorities, timelines, and stakeholders in a fast-paced environment.
- Experience working with vendors, contracts, purchase requests, invoices, budgets, or related operational processes.
- Strong organizational, planning, and follow-through skills with exceptional attention to detail.
- Excellent written and verbal communication skills, including the ability to prepare reports, presentations, meeting materials, and correspondence.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Demonstrated ability to manage sensitive and confidential information with professionalism and discretion.
- Strong problem-solving skills with the ability to identify process improvement opportunities and implement effective solutions.
- Ability to work independently while building strong collaborative relationships across departments.
Starting Salary Range: $85,000 – 120,000 (depending on relevant experience, skills, and credentials). This position is eligible to participate in Ullico Inc.’s (“Ullico”) annual incentive compensation program. An incentive award is contingent upon Ullico meeting financial goals set by the Ullico Board of Directors and your individual performance. The elements of the program, including eligibility, the range of potential incentive compensation, and the factors that determine the payment, will be shared with you after you become employed.
