Position Overview
We are seeking a reliable, highly organized, and detail-oriented Customer Service / Administrative Assistant to join our team. This dual-role position serves as the primary point of contact for our customers while executing critical day-to-day administrative and clerical tasks. The ideal candidate will possess excellent communication skills, thrive in a fast-paced environment, and be able to balance client inquiries with rigorous data entry and documentation management.
Key Responsibilities
Customer Service & Front Office Support Serve as the primary point of contact for incoming phone calls, emails, and walk-in visitors, providing professional and helpful assistance.
Address and resolve customer inquiries regarding orders, shipments, scheduling, and billing discrepancies efficiently.
Maintain a deep understanding of company products, services, and operational processes to answer customer questions accurately.
Build and sustain positive, long-term relationships with clients, vendors, and suppliers.
Administrative & Clerical Operations Manage daily order entry, generating accurate invoices, billing statements, and shipping documentation.
Maintain, update, and audit digital and physical filing systems, ensuring all records are organized and compliant.
Route and process daily mail, office packages, and general email correspondence to the appropriate team members.
Oversee office supply inventory, ordering new materials and equipment as necessary to keep the office running smoothly.
Logistics & Data Management Coordinate between clients, sales teams, warehouse managers, and drivers to ensure timely delivery and tracking of orders.
Perform high-volume, accurate data entry into company software, including updating inventory logs and client profiles.
Help track accounts receivable and assist the financial department by following up on outstanding payments.
Qualifications & Skills Experience: Minimum of 2–3 years of experience in an administrative assistant, customer service, or office coordinator role (experience in logistics, manufacturing, or distribution environments is a plus).
Education: High school diploma or GED required; an Associate’s or Bachelor’s degree in Business Administration or a related field is preferred.
Technical Proficiency: Strong computer skills, including advanced knowledge of Microsoft Office Suite (Word, Excel, Outlook) and experience with CRM, ERP, or basic accounting software.
Communication: Exceptional verbal and written communication skills with a proven track record of handling difficult customer service situations with empathy and professionalism.
Organization: Outstanding time-management, multitasking, and organizational skills, with a high level of attention to detail and accuracy.
Availability: Must be punctual, reliable, and able to work consistent core business hours on-site.

Compensation / Pay Rate (Up to): $22.00 - $27.00
