Leads and coordinates the end-to-end bid management process from opportunity qualification and RFP review through proposal development and submission, ensuring that bids are compliant, commercially sound, well-structured, compelling, and delivered within agreed timelines. The role acts as a central point across Sales, Commercial, Technical, Finance, and other stakeholders, while providing structured analysis, management reporting, and presentation of bid and pipeline insights to support informed decision-making.

Key Responsibilities

· Review and analyze RFPs, RFIs, RFQs, tenders, and related bid documents to understand scope, requirements, evaluation criteria, commercial conditions, timelines, and submission instructions.

· Conduct structured RFP reviews and prepare requirements summaries, compliance matrices, key deliverables, mandatory requirements, assumptions, dependencies, risks, and clarification points.

· Support bid qualification and feasibility assessment by analyzing opportunity scope, strategic fit, delivery requirements, available capabilities, commercial considerations, and key bid risks.

· Identify gaps, ambiguities, conflicts, and potential compliance issues in bid documents and coordinate clarification requirements with the relevant stakeholders.

· Develop and maintain bid plans, submission timelines, milestones, responsibilities matrices, action trackers, and governance checkpoints.

· Coordinate cross-functional stakeholders and ensure timely receipt, review, consolidation, and quality control of technical and commercial inputs.

· Track opportunity progress, identify bottlenecks and dependencies, escalate critical issues, and follow up until resolution.

· Review proposal content for completeness, consistency, compliance, formatting, and alignment with the RFP requirements before submission.

· Validate pricing inputs and supporting commercial information to ensure consistency between the technical scope, resource assumptions, pricing structure, and financial offer.

· Validate Sales Orders and coordinate with relevant teams to ensure commercial information is accurately reflected.

· Conduct pipeline and opportunity data quality checks, ensuring alignment between CRM, pipeline trackers, and supporting records.

· Prepare recurring pipeline, bid performance, and commercial reports covering opportunity status, bid progress, win/loss performance, pipeline trends, and key management indicators.

· Perform bid and pipeline analytics to identify trends, variances, bottlenecks, conversion patterns, win/loss drivers, and areas requiring management attention.

· Develop win/loss analysis and translate findings into actionable insights and recommendations to improve future bidding performance.

· Prepare monthly reports for Finance covering won and expected-to-be-won projects, including detailed revenue breakdowns and relevant commercial information.

· Prepare management-ready presentations and executive summaries that convert complex bid, pipeline, and commercial data into clear insights, key messages, and recommended actions.

· Present bid status, analytical findings, risks, opportunities, and recommendations to management and relevant stakeholders in a clear and concise manner.

· Manage weekly Sales Review meetings with regional teams, consolidate opportunity updates, highlight changes and risks, and document agreed actions and follow-ups.

· Support continuous improvement of bid management processes, templates, dashboards, reporting mechanisms, and knowledge repositories.

RFP Review & Bid Analysis – Core Expectations

· Demonstrate the ability to read and interpret complex RFP/RFI/RFQ documentation and convert requirements into clear, actionable bid workstreams.

· Distinguish between mandatory, scored, commercial, technical, contractual, and administrative requirements and highlight their impact on the bid.

· Assess bid risks, dependencies, resource requirements, delivery constraints, and information gaps and escalate issues appropriately.

· Use structured analysis to support bid/no-bid discussions and provide fact-based inputs rather than relying solely on qualitative assumptions.

· Ensure traceability between RFP requirements, proposal responses, supporting evidence, and internal ownership.

Analytics & Reporting

· Analyze pipeline and bid data to identify trends, anomalies, performance gaps, and opportunities for improvement.

· Develop and maintain dashboards and analytical reports covering pipeline status, bid funnel, win rate, bid value, service line/country performance, forecast, and other relevant KPIs.

· Validate data quality and reconcile CRM, pipeline, commercial, and reporting sources before presenting findings.

· Translate analysis into concise management insights, clearly explaining what changed, why it matters, and what action is recommended.

· Use Excel and data visualization tools to present information in a structured, decision-oriented format.

Presentation & Communication

· Create professional PowerPoint presentations, executive summaries, dashboards, and visual reports suitable for management and stakeholder reviews.

· Present complex information clearly and logically, adapting the level of detail to technical, commercial, sales, and executive audiences.

· Communicate key messages, risks, decisions required, and recommendations with confidence and strong attention to business context.

· Facilitate meetings effectively, document decisions and actions, and ensure follow-up on agreed commitments.

· Demonstrate strong written and verbal English communication skills.
