2- THE ROLE
A varied, hands-on role combining office operations, procurement, travel coordination and executive support. You will be a key coordination point for our teams, management, suppliers and service providers.
3- WHAT YOU'LL DO
Travel Coordination & Executive Support:
Coordinate up to 30 travel requests per month, including flights, hotels and related arrangements, while providing day-to-day administrative support to management.
Procurement & IFS:
Raise and manage approximately 70 purchase orders per year in IFS, issue POs to suppliers, process goods/service receipts and maintain accurate purchasing records.
IT Purchasing:
Coordinate IT purchase requests, POs and GRFs in collaboration with IT and Finance.
Office & Workplace: Manage office supplies, consumables, workplace purchases and recurring service agreements, including maintenance, cleaning and pest control.
Suppliers & Services:
Coordinate vendors, quotations, orders, invoices and agreement follow-up, supporting efficient and cost-conscious purchasing.
Driver & Logistics Coordination:
Manage driver schedules, transportation requirements, deliveries and other day-to-day operational needs.
Administration & Coordination: Maintain accurate records and act as a reliable coordination point across teams, suppliers and management.
Executive Assistance:
Provide administrative and coordination support to the Managing Director by managing schedules, communications, meetings, and travel arrangements.
4- WHAT YOU BRING
- 2 years’ experience min in office administration, procurement coordination, executive support, office operations or a similar role, ideally in an international environment.
- Bachelor’s degree or diploma in Business Administration, Management, Procurement, Office Administration or a related field.
- Experience with ERP/procurement systems; IFS experience is an advantage.
- Strong organisation, prioritisation and attention to detail, with good commercial awareness and confidence in dealing with suppliers.
- Proactive, service-oriented and discreet, with the ability to manage multiple requests and close actions reliably.
- Fluent English required
- Good command of Outlook, Word and Excel.
