Position Purpose:

Responsible for leading the loan document preparation function, ensuring accurate and timely preparation of consumer, real estate, and commercial loan documentation. Manages and develops a team while ensuring compliance with approved credit terms, bank policies, and regulatory requirements. Job Duties and Responsibilities:

- Lead the daily operations of the Loan Documentation Preparation function, including supervising, coaching, developing, and evaluating team members to promote a culture of accountability, collaboration, and continuous improvement.

- Oversee the preparation and review of consumer, real estate, and commercial loan documentation to ensure accuracy, completeness, compliance, and alignment with approved loan terms.

- Ensure loan documentation is prepared in accordance with applicable laws and regulations, bank policies, procedures, documentation standards, and approved credit terms, safeguarding the Bank's interests and reflecting Firstar's commitment to Integrity and Trust.

- Prepare and review collateral documentation for secured and unsecured loans to ensure documentation is complete, accurate, enforceable, and properly supports the collateral position of the Bank.

- Collaborate with Commercial Relationship Officers, Credit Administration, Loan Operations, Compliance, and other business partners to resolve documentation issues, and facilitate timely loan closings.

- Establish and maintain effective quality control procedures and internal controls within the loan documentation process.

- Support internal audits, external audits, and regulatory examinations by providing documentation, information, and assistance as requested.

- Identify and implement opportunities to improve processes, enhance efficiency, strengthen controls, and mitigate operational risk.

- Balance assigned general ledger and bank accounts and ensure timely resolution of outstanding items.

- Provide cross-training, support, and backup assistance to Loan Operations personnel and other departments, as needed, to ensure continuity of operations.

- Maintain a thorough understanding of products, services, systems, regulations, policies, and procedures relevant to assigned responsibilities.

- Complete all required training by established deadlines and participate in development opportunities to enhance knowledge and skills.

- Participate in bank-sponsored activities, community initiatives, and volunteer opportunities that strengthen relationships.

Qualifications

Skills and Abilities Required:

- Working knowledge of accounting, banking, lending, and financial principles.

- Strong knowledge of loan documentation, collateral requirements, regulatory compliance, and operational risk management.

- Proficient in Microsoft Office applications, including Word, Excel, Outlook, and other systems relevant to the role.

- Strong leadership and interpersonal skills with the ability to coach, develop, and work effectively with individuals at all levels of the organization.

- Excellent verbal and written communication skills, including the ability to interpret, communicate, and apply bank policies, procedures, and regulatory requirements.

- Strong analytical, problem-solving, and decision-making skills with the ability to identify issues and implement effective solutions.

Experience and Education Requirements:

- High school diploma or equivalent required; additional education in business, finance, accounting, or a related field preferred.

- Minimum five (5) years of experience supporting lending, loan operations, loan documentation, or a related banking function.

- Previous supervisory, leadership, or team lead experience preferred.

- Demonstrated knowledge of loan documentation, collateral requirements, and applicable banking regulations.

- Equivalent combinations of education, training, and experience that provide the required knowledge, skills, and abilities may be considered.

- Prior experience with LaserPro and/or nCino software preferred.

Physical Requirements:

- Frequent use of computers and other standard office equipment, including keyboards, monitors, telephones, printers, and copiers.

- Prolonged periods of sitting at a desk and working on a computer, with occasional standing and walking throughout the office.

- Occasional bending, reaching, and stooping to retrieve files, office supplies, or other work-related materials.

- Occasionally lifts and/or moves items weighing up to 25 pounds, such as files, office supplies, or packages.

- Requires the ability to communicate effectively and exchange information with customers, employees, and business partners, including the use of visual acuity to review documents and computer screens and the ability to participate in conversations in person and by telephone.
