About this role

The role:

We’re moving into something new.

Mama Money is moving into our first company-owned office building, and we’re looking for a Facilities Manager to take ownership of making it a great place to work, and keeping it that way.

This is a hands-on role covering everything from building maintenance, suppliers and security to health & safety, budgets, office projects and the day-to-day experience of our team.

You’ll be the person making sure things work, standards stay high and issues are dealt with quickly and properly. You’ll manage the people and partners who keep the office running, while also looking ahead to what the building and team will need as we grow. The role will play an important part in our move into the new building and will then take full ownership of its ongoing operation and development.

We’re looking for someone practical, proactive and highly organised, someone who notices the details, takes pride in their work and gets things done.

As our Facilities Manager, you will:

- Run the office: Take day-to-day ownership of the office and building.

- Keep the space clean, safe, functional, well maintained and looking great.

- Proactively identify and resolve maintenance, operational and safety issues.

- Manage cleaning, security, access control, waste, pest control and other building services.

- Set up and maintain preventative maintenance schedules.

- Manage suppliers & contractors: Own relationships with contractors, suppliers and service providers.

- Source and compare quotes, negotiate pricing and manage contracts and service levels.

- Set clear expectations and hold suppliers accountable for quality and turnaround times.

- Build a reliable network of trusted suppliers and contractors.

- Own health, safety & compliance: Ensure the office meets relevant health & safety requirements in South Africa.

- Manage fire safety, emergency procedures, drills and incident reporting.

- Keep inspections, certificates, servicing and compliance documentation up to date.

- Manage workplace security, access and visitor processes.

- Manage the money: Own the facilities budget and day-to-day operational spend.

- Manage quotes, purchase orders, invoices and supplier costs.

- Track spend against budget and identify opportunities to improve value and efficiency.

- Make the office work for our team: Be the go-to person for office and facilities-related queries.

- Manage office supplies, equipment and workplace procurement.

- Coordinate furniture, equipment and office reconfigurations as we grow.

- Partner with People & Talent and IT on onboarding, access and workplace requirements.

- Manage office projects and coordinate contractors and internal stakeholders through to completion.

- Look for practical ways to improve the office experience, efficiency and sustainability.

What we’re looking for:

We’re looking for an absolute operator - someone who takes ownership, spots problems early and follows things through.

You’ll ideally have:

- 5+ years’ experience in facilities management, office operations, property, hospitality or a similar hands-on environment.

- Experience managing suppliers, contractors and service providers.

- Good working knowledge of health & safety requirements in South Africa.

- Experience managing budgets, quotes, contracts and operational spend.

- Strong organisation, attention to detail and follow-through.

- A practical, hands-on approach and high standards.

- The confidence to manage multiple priorities and solve problems independently.

- Strong communication and relationship-building skills.

- Experience with office moves, building projects, space planning or property management is advantageous.

Most importantly, you take pride in what you’re responsible for. You notice when something isn't right, you do something about it, and you see it through.

What success looks like:

- The building is safe, clean, functional and well maintained.

- Issues are identified early and resolved quickly.

- Suppliers and contractors deliver to the standards expected.

- Facilities spend is well managed and delivers value for money.

- Health & safety, security and compliance are consistently up to date.

- Office projects are delivered smoothly, on time and within budget.

- The office feels cared for and works seamlessly for our team.

- The building is well looked after without needing to be told.
