Position Purpose:
The Warehouse Systems & Inventory Coordinator exists to support efficient warehouse operations through accurate inventory management, warehouse systems administration, inventory planning, and cross-functional coordination. This role serves as a critical link between warehouse operations, inventory control logistics, finance, and business stakeholders by ensuring inventory accuracy, maintaining reliable ERP data, supporting inventory optimization initiatives, and driving process improvements that contribute to operational efficiency, customer satisfaction, and business growth.
Primary Responsibilities:
• Maintain accurate and timely warehouse transactions within Microsoft Dynamics and related warehouse systems.
• Monitor, analyze, and reconcile inventory data between system records and physical inventory counts.
• Investigate inventory discrepancies and coordinate corrective actions with warehouse, finance, and operational teams.
• Develop, maintain, and distribute key inventory and warehouse performance reports including inventory accuracy, inventory turnover, inventory aging, order fulfillment rates, and stock availability.
• Analyzing historical inventory usage, customer demand, service agreements, and replenishment lead times to establish effective inventory stocking strategies.
• Maintain inventory replenishment plans, safety stock levels, and reorder points to support operational continuity and customer service requirements.
• Monitor slow-moving, excess, obsolete, and aging inventory and recommend corrective actions to optimize inventory investment.
• Identify demand trends, forecast inventory requirements, and proactively address potential stock-out risks.
• Collaborate with Parts, Service, Sales, Logistics, Finance, and corporate teams to align inventory planning and operational priorities.
• Support monthly inventory reviews and provide recommendations on inventory levels, stocking requirements, and inventory reduction priorities.

• Serve as the primary warehouse systems resource for inventory-related processes, reporting, and data management. Ensure inventory activities are properly documented, tracked, and completed in accordance with company procedures and inventory control standards.
Secondary Responsibilities:
• Support inventory coordination activities between the Geneva warehouse and third-party logistics (3PL) providers.
• Track inbound shipments, outbound shipments, inventory transfers, and pending inventory movements.
• Assist with warehouse and inventory audits, cycle counts, and annual physical inventory activities.
• Coordinate inventory reconciliation activities with third-party warehouse partners.
• Assist with implementation, maintenance, and continuous improvement of warehouse standard operating procedures (SOPs).
• Participate in warehouse process improvement initiatives focused on efficiency, accuracy, and customer service enhancement.
• Provide support for ERP system updates, testing, troubleshooting, and user assistance as needed.
• Cross-train and provide operational support for warehouse and logistics functions during peak periods or staffing shortages.
• Perform related duties and special projects as assigned.
Position Requirements
• Bachelor’s degree in supply chain management, Logistics, Business Administration, Accounting, Operations Management, or a related field preferred.
• Equivalent combination of education and relevant experience may be considered.
• Minimum 2 years of experience in inventory control, warehouse operations, supply chain coordination, logistics, or ERP system administration.
• Experience supporting inventory planning, inventory analysis, and warehouse reporting required.
• Experience working in manufacturing, industrial equipment, machinery, or spare parts environments preferred.
• Experience working with third-party logistics providers (3PL) is a plus.
• Knowledge of inventory control principles, warehouse operations, material flow, and supply chain processes.
• Understanding inventory planning concepts including safety stock, reorder points, inventory turnover, and inventory aging.
• Knowledge of inventory reconciliation, cycle counting, and inventory audit processes.
• Understanding of ERP systems and warehouse management system functionality.
• Proficiency with Microsoft Dynamics 365 or comparable ERP systems strongly preferred.
• Advanced Microsoft Excel skills, including pivot tables, lookup functions, reporting, and data analysis
• Strong data analysis and reporting capabilities
• Proficiency with Microsoft Office Suite applications.
• Exceptional attention to detail and commitment to data accuracy.
• Experience using ERP systems; Dynamics 365 experience preferred.
• Strong analytical, problem-solving skills, and decision-making abilities.
• Effective organizational and prioritization skills with the ability to manage multiple responsibilities simultaneously.
