JOB SUMMARY:

The Human Resources Coordinator at Christ Fellowship Church plays a vital support role for the HR team, serving as the primary operational hub for daily administrative functions, logistics, and special projects across 450+ staff members and multiple campus locations. This position combines employee lifecycle support, hospitality, financial tracking, compliance, and specialized ministerial workflows into a single cross-functional support role.

JOB DUTIES:

Employee Lifecycle, Onboarding & Intern Programs

- Onboarding & Offboarding: Prepares environments, orders supplies, and manages setup and scheduling for New Hire Orientations, Staff Essentials, and New Staff Experiences; facilitates administrative tasks for employee exit processes.

- Performance & Milestones: Administration and scheduling of 90-day reviews and Years of Service (YOS) check-ins.

- Interns & Residents: Coordinates recruitment and onboarding logistics for Summer Interns, College Interns, and Residents; setup and tracking of quarterly reviews within the 15Five platform.

- Compliance & Screening: Conducts background check re-runs for staff whose screenings are approaching expiration and ensures required labor law posters are up to date across all campus locations.

- Communications: Assists with the distribution of all-staff emails, New Hire and Transition announcements, and manages the general HR email and calendar.

Departmental Hospitality & Operations

- Hospitality: Oversees “unreasonable hospitality” for HR events, Recruit Events, and staff trainings, including setting up rooms, ordering catering, creating welcoming environments, and managing cleanup.

- Volunteer & HR Supplies Management: Recruits, supports, and schedules HR volunteers; orders general office supplies, and maintains supply closet organization.

- General Administrative Support: Responds to routine requests for information, handles confidential and non-routine information with discretion, explains organizational policies as needed, and assists the HR team with special projects.

Financial, Budget & Expense Administration

- SME: Serves as the departmental Subject Matter Expert (SME) for planning and tracking the annual HR budget and processing all departmental product requests

- Reconciliations & Audits: Processes invoices and reconciles monthly expense reports using Concur and Anybill software; performs data administration and routine audits in Prophix.

- Reimbursements: Processes reimbursement requests for candidate travel and staff relocations.

Ministry Support & CFSEU Staff Benefits

- Ministerial Administration : Assists with the administrative processing for pastoral and ministerial licensing, housing allowances, and pastor tax forms.

- CFSEU Support: Facilitates staff benefits administration for CFSEU.

- Staff Recognition: Assists with staff recognition initiatives, including Years of Service Awards.

Workspaces & Access Control:

- Workspace Management: Facilitates Gardens staff office moves, all-staff furniture ordering, and manages workspace transition details.

- Access Control & Room Reservation Logistics: Assists with staff access ID badges, phone and key fob distribution; handles room bookings and space reservations for HR.

Safety, Compliance & Staff Training Facilitation

- Certifications: Audits, schedules, and tracks biannual (spring and fall) CPR and Crowd Management certification sessions.

- Risk Management: Coordinates scheduling and tracking for specialized Risk Management safety trainings, including forklift and aerial lift operations.

- Development Events: Assists with the scheduling and logistics for staff Lunch & Learns and other staff training sessions as required.

EDUCATION:

Associate's Degree; Bachelor’s degree in Human Resources, Business Administration or related field preferred.

RELEVANT WORK EXPERIENCE:

1-3 years of relevant administrative or HR operational support experience.

REQUIRED SKILLS & ABILITIES:

- Proficiency in Google Workspace

- Hands-on experience with financial and expense tools

- High level of integrity and capability to handle confidential employee information responsibly

- Excellent organizational skills, detail oriented and multi-tasking capability

- Strong interpersonal and hospitality skills to host events and assist staff members effectively
