Payroll Administrator
About the Role
This is a hands-on position for someone who enjoys taking ownership of their responsibilities from beginning to end. You will work closely with dealership management, Human Resources, and Accounting to ensure employees are onboarded correctly, payroll is accurate and timely, benefit and payroll accounts are properly reconciled, and required reporting and remittances are completed on schedule. This role ensures accuracy, compliance, and exceptional employee service across all rooftops.
Essential Functions / Key Responsibilities
- Process weekly, semimonthly, and monthly payrolls for approximately 275 employees across multiple dealership locations and entities.
- Own new-hire onboarding and employee setup in Paylocity, ensuring employees are properly established before their first payroll.
- Review timecards, pay changes, commissions, bonuses, deductions, PTO, and other payroll information for accuracy.
- Maintain accurate employee payroll records, including pay rates, departments, positions, deductions, and employment changes.
- Work with managers to resolve missing information, approvals, and payroll discrepancies.
- Administer payroll deductions, garnishments, child support orders, and other required deductions.
- Process and reconcile 401(k) and HSA contributions following each applicable payroll cycle.
- Administer union payroll deductions and remittances, including issuing payments for union dues and medical premiums.
- Reconcile benefit schedules and accounts, research discrepancies, and post monthly benefit invoices to the appropriate dealership entities and general ledger accounts.
- Reconcile benefit invoices to payroll deductions and employee enrollment information.
- Generate required post-payroll reports after each payroll cycle and distribute them to management.
- Assist with payroll journal entries, general ledger reconciliations, and other payroll-related accounting responsibilities.
- Assist with quarterly and year-end payroll processes, including W-2 reconciliation.
- Serve as a resource for employee questions regarding payroll, Paylocity, timekeeping, direct deposit, deductions, PTO, and benefit deductions.
- Maintain accurate and confidential payroll and employee documentation.
Additional Responsibilities
- Assist HR with employee file maintenance.
- Support audits and compliance reviews.
Requirements
Qualifications
- 2+ years of payroll, accounting, or related experience preferred.
- Paylocity experience strongly preferred.
- Automotive dealership, multi-location, or multi-entity payroll experience is a plus.
- Experience with payroll and benefit reconciliations preferred.
- Experience with union payroll administration is a plus.
- Strong Excel and general accounting skills.
- Strong attention to detail and ability to manage recurring deadlines.
- Comfortable working with hourly, salaried, commissioned, and other variable compensation structures.
- Strong organizational, communication, and problem-solving skills.
- Ability to handle confidential employee and compensation information appropriately.
