Position Summary

The Executive Assistant is a trusted business partner to the Group President, Commercial Solutions, providing high-level executive support and helping ensure the effective operation of Conduent's Fort Lauderdale corporate office. This role manages executive priorities, coordinates leadership activities, supports office administration, and drives an exceptional workplace experience for employees and visitors. Success requires exceptional organization, sound judgment, discretion, and the ability to anticipate needs and manage competing priorities in a fast-paced environment.

Key Responsibilities

Executive Support

- Manage complex calendars, meetings, travel, and expenses for the Group President, Commercial Solutions and provide additional administrative support to onsite staff when required.
- Anticipate executive needs, prioritize competing demands, and ensure the executive is prepared for key meetings, customer engagements, and business activities.
- Handle highly confidential information with professionalism and discretion.
- Prepare presentations, reports, correspondence, and meeting materials.
- Coordinate domestic and international travel arrangements, including itineraries, logistics, and expense reconciliation.

Office Administration & Workplace Operations

- Serve as the primary point of contact for the Fort Lauderdale corporate office, ensuring a professional, welcoming, and efficient workplace environment.
- Coordinate office operations, facilities requests, workplace vendors, office supplies, equipment, and general administrative services.
- Partner with Facilities, IT, Security, Human Resources, and Corporate Real Estate teams to address office needs and workplace initiatives.
- Coordinate office moves, seating arrangements, workspace planning, and onboarding logistics for new employees.
- Manage visitor reception processes, executive visits, and customer meetings hosted in the office.
- Support local office budgets, vendor invoices, purchase requests, and expense tracking.
- Organize employee engagement activities, recognition events, town halls, and office celebrations.
- Ensure conference rooms, common areas, and office resources are maintained and operating effectively.
- Identify opportunities to improve workplace experience, operational efficiency, and employee satisfaction.
- Support business continuity and office readiness requirements, including coordination of building communications and emergency procedures.

Stakeholder Management

- Serve as a primary liaison for the Group President, Commercial Solutions, customers, business partners, and internal stakeholders.
- Draft and edit executive correspondence and business communications.
- Build effective partnerships across the organization.
- Interact professionally with employees, clients, vendors, and executive leadership while representing the office of the Group President.

Minimum Qualifications

- High school diploma required; Associate's or Bachelor's degree preferred.
- 5+ years of administrative support experience, including supporting executives or senior leadership in a professional environment.
- Experience supporting a business unit president or senior commercial/business leader preferred.
- Proven ability to manage complex schedules, prioritize competing demands, and work independently in a fast-paced environment.
- Previous experience supporting office operations, facilities coordination, workplace administration, or office management activities preferred.
- Advanced Microsoft Office 365 skills (Outlook, Word, Excel, PowerPoint, Teams, SharePoint).
- Exceptional organizational, communication, and interpersonal skills with meticulous attention to detail.
- Demonstrated ability to handle confidential and sensitive information with the highest level of discretion.
- Experience planning executive meetings, customer events, leadership offsites, and employee engagement activities is highly desirable.

Pay Transparency Laws in some locations require disclosure of compensation and/or benefits-related information. For this position, actual salaries will vary and may be above or below the range based on various factors including but not limited to location, experience, and performance. In addition to base pay, this position, based on business need, may be eligible for a bonus or incentive. In addition, Conduent provides a variety of benefits to employees including health insurance coverage, voluntary dental and vision programs, life and disability insurance, a retirement savings plan, paid holidays, and paid time off (PTO) or vacation and/or sick time. The estimated salary range for this role is $60,000 - $75,000.
