Position Overview

Our client, a growing healthcare organization specializing in diagnostic testing and medical services, is seeking an experienced Healthcare Operations & Process Improvement Manager to build the operational infrastructure needed to support its next stage of growth.

This is a newly created position focused on evaluating existing operations, identifying opportunities for improvement, and implementing the processes, systems, and accountability measures necessary to support a growing organization.

Our client has experienced significant growth through an entrepreneurial, hands-on approach where team members work collaboratively to solve problems and meet business needs. As the organization continues to expand, there is an opportunity to establish more structured workflows, improve operational efficiency, strengthen communication across departments, and better leverage existing technology.

The ideal candidate is an experienced operations professional who enjoys building structure, solving complex problems, and creating scalable systems.

This individual must be comfortable working in an evolving environment, taking ownership of operational initiatives, and partnering directly with executive leadership to drive meaningful organizational improvements.

Key Responsibilities

Operational Assessment & Process Improvement

- Evaluate existing operational processes, workflows, and systems across the organization.

- Identify operational inefficiencies, bottlenecks, duplicated efforts, unclear responsibilities, and opportunities for improvement.

- Develop and implement scalable processes that improve efficiency, communication, and accountability.

- Create standardized operating procedures (SOPs), workflow documentation, process maps, and operational playbooks.

- Establish clear ownership of responsibilities, approval processes, departmental handoffs, and operational expectations.

- Continuously evaluate processes and recommend improvements that support organizational growth.

Systems, Technology & Automation

- Evaluate existing operational technology and identify opportunities to improve system utilization.

- Identify manual processes that can be streamlined or automated.

- Recommend and implement technology solutions that improve operational efficiency and visibility.

- Improve the organization's use of Google Workspace, internal systems, and operational reporting tools.

- Develop systems for tracking operational activity, project status, deadlines, and key performance indicators.

- Support the implementation of operational infrastructure for new business initiatives, including inventory management, product distribution, and workflow tracking.

- Partner with internal stakeholders and external vendors to implement system improvements as needed.

Cross-Functional Operations & Project Management

- Lead operational improvement initiatives involving multiple departments.

- Partner with executive leadership and department leaders to establish consistent workflows and accountability.

- Define clear processes for communication, approvals, task ownership, and departmental handoffs.

- Support operational improvements across sales, finance, customer experience, and other functional areas.

- Develop project plans, establish timelines, assign responsibilities, and monitor progress.

- Identify operational risks and implement processes that support consistent service delivery and organizational performance.

- Lead change-management efforts associated with new systems, workflows, and operational procedures.

Leadership & Accountability

- Establish clear performance expectations, deadlines, and accountability measures across operational initiatives.

- Confidently communicate with employees, department leaders, and executive leadership to ensure commitments are fulfilled.

- Identify barriers affecting project completion and work collaboratively to resolve them.

- Provide leadership with regular reporting, operational insights, and recommendations.

- Manage and develop direct report(s) as the operational function grows.

- Help foster a culture of continuous improvement, collaboration, and operational accountability.

Organizational Growth & Scalability

- Develop operational processes and systems capable of supporting continued business growth.

- Identify future staffing, technology, and infrastructure needs.

- Support the successful implementation of new services, operational initiatives, and business processes.

- Partner with executive leadership to ensure operational priorities align with organizational growth objectives.

Qualifications

- 7+ years of progressive experience in operations management, business operations, process improvement, project management, or a related field.

- Experience within healthcare, diagnostics, medical services, life sciences, or another regulated industry strongly preferred.

- Demonstrated experience developing and implementing operational processes and systems, rather than solely managing established workflows.

- Proven ability to evaluate organizational operations, identify inefficiencies, and implement scalable solutions.

- Experience developing SOPs, workflow documentation, process maps, operational reporting, and accountability systems.

- Strong project-management skills with experience leading cross-functional initiatives.

- Familiarity with Lean, Six Sigma, continuous improvement, or similar process-improvement methodologies strongly preferred.

- Strong technology aptitude and experience identifying opportunities for automation and operational system improvements.

- Proficiency with Google Workspace and experience using operational reporting or project-management software.

- Excellent organizational, analytical, and problem-solving skills.

- Strong written and verbal communication skills.

- Ability to influence stakeholders and hold individuals accountable without relying solely on direct reporting authority.

- Comfortable working directly with executive leadership and independently managing complex operational initiatives.

- Experience supporting organizational growth, operational transformation, or process improvement within a scaling business strongly preferred.
