The Inova Orthopedics-Springfield office is seeking a dedicated Patient Access Specialist to join their amazing team!
This is a full-time day shift position: Monday-Friday 8-hour shifts within the office hours 7:30am-4:30pm.
Will float to Woodbridge location to cover for PTO.
The Patient Access Specialist manages more complex patient access workflows, including multi-department scheduling, insurance coordination, and documentation validation. This role navigates multiple systems to ensure data accuracy and timely service. The Patient Access Specialist may be responsible for one or more of the following duties and responsibilities:
Job Responsibilities
- Patient Intake, Registration & Documentation: Manages complex cases, resolves errors, confirms authorizations, validates, and indexes documents.
- Administrative & Technology Operations: Prepares schedules, tracks records, and navigates multiple systems efficiently.
- Case Management Tasks: Coordinates documentation and follows up on case-related tasks.
- Financial Counseling: Assesses coverage and initiates financial assistance.
- Insurance & Contract Coordination: Applies payer-specific rules, resolves issues, and identifies contract limitations.
- Inquiries & Patient Concerns: Resolves moderate concerns and tracks follow-ups with patients.
- Kiosk: Educates patients and reports usage trends on kiosks.
- Patient Communication & Advocacy: Coordinates with departments, tailors messaging, and supports patients.
- Referrals: Validates insurance and tracks referral status.
- Scheduling: Schedules specialty visits and coordinates preparation.
- Transport: Coordinates special needs transport.
- Health Information Management (HIM) Coordination: Resolves minor chart issues and assists with release of information (ROI).
- Utilization Review Coordination: Provides documentation to utilization review (UR) teams.
- Ensures compliance with HIPAA, OSHA, and other applicable federal and state regulations.
- May perform additional duties as assigned.
Minimum qualifications :
- 1 year of patient access experience
- Education: High school diploma or GED
Preferred qualifications:
- 2+ years of patient access experience in orthopedic office environment
