Position Overview

The Office Administration & Facilities Coordinator is responsible for the efficient day-to-day operation, administration, and management of IGT's Athens office locations. The role serves as the primary point of contact for office operations, facilities management, vendor coordination, employee support, and workplace services, ensuring a safe, professional, and productive working environment for all employees and visitors.
The position is business-critical as it provides operational continuity across both Athens sites, supports employee engagement, ensures compliance with workplace requirements, and enables local leadership teams to focus on core business activities.

Key Responsibilities

Office Administration and Site Management (Primary Responsibility)
• Manage the daily operations of both Athens office locations and act as the primary local contact for all office-related matters.
• Ensure offices are maintained in a professional, safe, and fully operational condition at all times.
• Coordinate office access, security procedures, visitor management, and employee onboarding logistics.
• Oversee office supplies, equipment, furniture, and inventory management for both locations.
• Coordinate office moves, workspace allocations, seating arrangements, and facilities-related projects.
• Act as liaison between employees, landlords, building management, and external service providers.
• Manage maintenance requests and ensure timely resolution of facilities issues.
• Coordinate health and safety requirements, emergency procedures, and workplace compliance activities.
• Support business continuity planning and local office preparedness initiatives.
• Organize office inspections and ensure compliance with corporate workplace standards.
Vendor and Service Provider Management
• Manage relationships with facility management companies, suppliers, contractors, cleaning services, security providers, and other local vendors.
• Monitor service quality and escalate issues when necessary.
• Support procurement processes related to office operations and facilities requirements.
• Process purchase orders, invoices, and administrative documentation associated with office services.
Employee Support
• Serve as the primary contact for employee workplace-related inquiries.
• Support onboarding and offboarding activities, including office access, equipment coordination, and workplace orientation.
• Assist employees with administrative and operational needs.
• Coordinate workplace communications and office announcements.
Meeting and Visitor Coordination
• Coordinate meeting room scheduling and office hospitality requirements.
• Organize customer, vendor, and executive visits to the Athens offices.
• Ensure meeting facilities and office resources are prepared and available as required.
• Support local management with internal events, workshops, and employee engagement activities.
Administrative Support
• Provide administrative support to local leadership and business teams as required.
• Maintain office records, documentation, contracts, and administrative files.
• Coordinate travel-related logistics and local business arrangements when required.
• Support corporate reporting and administrative requests.

Required Skills and Experience

• Proven experience in office administration, facilities management, workplace services, or business support functions.
• Strong organizational and multitasking abilities.
• Excellent communication and interpersonal skills.
• Experience coordinating multiple stakeholders, vendors, and service providers.
• Strong problem-solving skills and ability to work independently.
• Proficiency in Microsoft Office applications.
• Ability to manage multiple priorities in a fast-paced business environment.
• Professional customer-service-oriented approach.
