As an Office Manager at Kido you are a key member of our school leadership team and play a critical role in driving enrollment, building relationships with families, and creating a welcoming experience from a family’s first inquiry through enrollment.
This is a sales- and relationship-driven role for someone who is confident following up with leads, conducting tours, overcoming objections, and ultimately owning the enrollment process. The ideal candidate has a strong background in sales, enrollment, or business development, along with knowledge and/or experience in early childhood education.
You should be energetic, organized, proactive, and comfortable thinking on your feet. You’ll need to confidently take ownership, make decisions, solve problems in real time, and balance the needs of prospective families, enrolled families, and the school team. Most importantly, you should genuinely enjoy connecting with families and helping them find the right early childhood experience for their child.
Key Responsibilities
- Own the enrollment process from start to finish, including lead follow-up, relationship building, tours, applications, enrollment, and conversion of prospective families into enrolled families.
- Respond to all prospective family inquiries quickly, warmly, and professionally through phone, email, text, and other communication channels.
- Conduct engaging, informative school tours and confidently communicate Kïdo’s philosophy, programs, curriculum, and approach to early childhood education.
- Follow up consistently with prospective families, answer questions, address concerns, overcome objections, and move families through the enrollment process.
- Maintain an organized pipeline of leads and proactively identify opportunities to increase enrollment and improve conversion.
- Plan and execute tours, open houses, enrollment events, and other community or marketing initiatives.
- Build strong, trusting relationships with prospective and enrolled families and serve as a welcoming face of the school.
- Develop a strong understanding of school operations, programs, and early childhood education in order to accurately represent Kïdo to current and prospective families.
- Support family engagement by sharing school updates, photos, and highlights of children’s experiences and growth.
- Maintain accurate enrollment records and required documentation, ensuring files remain compliant with state licensing and regulatory requirements.
- Support local marketing and community outreach efforts that increase awareness of the school and generate new leads and positive word-of-mouth.
- Partner closely with the school leadership and teaching teams to ensure a seamless experience for families.
- Manage multiple priorities in a fast-paced environment while responding promptly to parent and staff needs.
- Step in, problem-solve, and think on your feet when unexpected situations arise.
What We're Looking For
- Strong sales background with a proven ability to build relationships, follow up consistently, and convert leads into enrolled families.
- Experience in enrollment, admissions, sales, marketing, or another highly relationship-driven role.
- Knowledge of and/or experience in early childhood education is strongly preferred.
- Excellent verbal and written communication skills with the confidence to speak with prospective families and lead tours.
- A natural ability to connect with people and create a warm, welcoming experience.
- Highly organized with strong follow-through and attention to detail.
- Self-motivated and proactive—you see what needs to be done and take ownership without waiting to be asked.
- Comfortable working independently, making decisions, and solving problems in a fast-paced school environment.
- Ability to manage multiple priorities while maintaining a high level of professionalism and responsiveness.
- Genuine interest in early childhood education and a passion for helping families find the right school for their children.
Minimum Qualifications
- High School Diploma or GED required.
- Must be at least 18 years of age.
- Prior experience in sales, enrollment, admissions, marketing, business development, or another family/customer-facing role.
- Strong interpersonal, communication, and organizational skills.
Preferred Qualifications
- Bachelor’s degree in Early Childhood Education, Business Administration, Communications, Marketing, or a related field.
- Director Qualified per licensing/ DCFS 407 regulations
- Experience working in a licensed preschool, childcare center, or other early childhood setting
- Previous experience owning a sales or enrollment pipeline.
- Bilingual in Spanish and English, including reading, writing, and speaking.
