Corgan is actively recruiting a dynamic Administrative Assistant/Receptionist to join the firm as part of our Durham team. Tackle these responsibilities alongside a team of creative, highly motivated individuals who are passionate about their work and ready to collaborate to achieve outstanding results. Responsibilities

- Provide flexible day-to-day office support, proactively assisting with administrative, reception, facilities, and team needs as they arise

- Help maintain a clean, organized, and welcoming office environment for employees, clients, visitors, and vendors

- Serve as the primary receptionist for the office, greeting visitors, answering the door, directing guests to the appropriate area or person, and creating a professional, welcoming experience

- Support visitor procedures, including maintaining sign-in/sign-out documentation and coordinating visitor notifications, building access, and badges as needed

- Process expense statements for office leaders, including officer expense reporting support as requested

- Provide calendar, travel, and administrative support for designated senior leaders, as needed

- Coordinate meeting logistics, including agendas, sign-in sheets, conference room reservations and setup, catering, refreshments, and post-meeting cleanup

- Maintain conference room readiness before and after meetings that require setup, ensuring spaces are cleared of meeting and presentation materials and prepared for the next use

- Support general office calendar needs, including office-wide meetings, events, visitor activities, and community initiatives

- Plan, coordinate, and assist with setup for office-wide social events, Lunch-and-Learns, All Staff Meetings, and other office gatherings

- Support local onboarding coordination for new hires, helping ensure first-day logistics are prepared and the employee feels welcomed and oriented to the team and office

- Prepare routine correspondence and other administrative documents as requested

- Answer and screen telephone calls and arrange conference calls

- Manage incoming and outgoing mail, courier services, package deliveries, and related distribution to appropriate staff members

- Order, receive, inventory, and restock office, mailroom, supply room, kitchen, pantry, coffee, beverage, and related supplies

- Help maintain kitchen and shared spaces, including loading, unloading, and starting dishwashers; wiping counters; and keeping supplies stocked

- Coordinate with building management on maintenance requests, building tickets, alarms, loading dock access, and related office needs

- Maintain the materials resource library, including scheduling vendor visits, greeting vendors, and cataloging, organizing, and maintaining library materials

- Provide additional administrative support for office meetings, communications, and other day-to-day office needs as assigned

Qualifications

- This role is an in-office position

- Strong organizational and communication skills, with high attention to detail and a “can-do” attitude

- Ability to multitask, manage competing priorities, and adapt to changing office needs

- Bachelor’s or Associate degree preferred, along with 4+ years’ experience; or an equivalent combination of education and experience

- Proficient Microsoft Office skills required, including Outlook, Word, PowerPoint, and Excel

- Personable, engaging, and service-oriented, with a genuine interest in supporting people and creating a positive office experience

- Comfortable interacting regularly with employees, clients, visitors, vendors, suppliers, and building management contacts

- Proactive and flexible, with a willingness to step in and help with a variety of office, reception, facilities, and team needs

- Prior experience in a people-facing administrative, office services, or receptionist role is preferred

- Ability to occasionally flex schedule to support early meetings or after-hours office events, as needed

This position is designated as full-time on-site and requires the employee to be physically present at the assigned office location Monday through Friday during standard business hours . Regular, reliable on-site attendance is an essential function of this role.
