Position Summary

The Graduate Medical Education (GME) Coordinator is responsible for coordinating a broad range of administrative, operational, educational, and financial functions supporting the Hematology/Oncology Fellowship Program. Serving as the primary liaison between the Program Director, fellows, faculty, Graduate Medical Education (GME), and institutional departments, this role ensures compliance with Accreditation Council for Graduate Medical Education (ACGME) requirements while supporting the successful administration of all aspects of the fellowship program.

The Coordinator independently manages fellowship recruitment, onboarding, scheduling, educational activities, accreditation documentation, program communications, budget tracking, and special events while providing administrative support to two Medical Directors within the Hematology/Oncology and Gastroenterology divisions.

Principal Responsibilities

Fellowship Program Administration

- Serve as the primary administrative liaison between the Program Director, Associate Program Directors, fellows, faculty, and Graduate Medical Education.
- Coordinate the daily operations of the Hematology/Oncology Fellowship Program.
- Assist in developing program goals, operational objectives, and administrative initiatives.
- Ensure compliance with institutional policies and ACGME accreditation standards.

Fellowship Recruitment & Selection
- Coordinate annual fellowship recruitment activities.
- Schedule candidate interviews and prepare interview agendas.
- Coordinate virtual and in-person interview logistics.
- Develop and update recruitment and marketing materials.
- Facilitate ranking meetings and submit final rank lists under Program Director supervision.
- Maintain and update fellowship program website.

Fellow Scheduling & Evaluation
- Maintain fellow schedules within New Innovations.
- Create annual block schedules and vacation schedules.
- Monitor and follow up on evaluations, duty hours, and procedure logs.
- Upload ACGME documentation into New Innovations and Microsoft Teams.
- Maintain evaluation tracking and compliance.

Educational Program Coordination
- Coordinate conferences, journal clubs, Morbidity & Mortality Conferences, grand rounds, and didactic sessions.
- Schedule speakers and coordinate external presenter payments.
- Organize new fellow orientation.
- Coordinate educational examinations including ASCO and ASH In-Training Exams.
- Prepare examination rooms and serve as exam proctor.

Accreditation & Regulatory Compliance
- Maintain fellowship databases including: New Innovations
- GME Track
- WebADS
- FREIDA

- Collect and submit annual ACGME WebADS updates.
- Support accreditation reviews and site visits.
- Prepare meeting materials and record minutes for: Clinical Competency Committee
- Program Evaluation Committee

Medical Student & Resident Coordination

- Coordinate all affiliated and non-affiliated medical student and resident rotations.
- Process required affiliation agreements and institutional documentation.
- Maintain rotation schedules and onboarding documentation.

Financial & Budget Administration
- Monitor annual fellowship budgets and expenditures.
- Process reimbursements for fellow educational stipends.
- Coordinate payments for educational activities and guest speakers.
- Maintain accurate fiscal records.

Graduation & Program Events
- Coordinate fellow graduation activities.
- Order diplomas and awards.
- Arrange catering, media coverage, and event logistics.
- Coordinate annual educational events and program celebrations.

Administrative Support
- Provide administrative support to two Medical Directors within Hematology/Oncology and Gastroenterology.
- Coordinate calendars and meetings.
- Manage travel arrangements and reimbursements.
- Prepare correspondence, reports, presentations, meeting materials, and program communications.
- Support continuity clinic administration alongside the Medical Office Assistant.

Qualifications:

- Education
- Associate's degree required; Bachelor's degree preferred in Healthcare Administration, Business Administration, Education, or a related field.

Experience
- Minimum of 3 years of progressively responsible administrative experience required.
- Previous Graduate Medical Education (GME), residency, fellowship, academic medicine, or healthcare administration experience strongly preferred.
- Experience coordinating complex schedules, meetings, projects, and events preferred.
- Experience working with physicians, faculty, or executive leadership preferred.

Preferred Qualifications
- Knowledge of ACGME accreditation standards and graduate medical education processes.
- Experience with New Innovations, WebADS, GME Track, FREIDA, or similar educational management systems.
- Experience with Microsoft Office Suite, Microsoft Teams, Outlook, Excel, and database management.
- Budget tracking and financial reconciliation experience preferred.
- Event planning and project coordination experience.
