Job Description
The Executive Assistant provides high-level administrative, operational, and communication support to the CAO, Chief Strategy Officer and General Counsel. This role is responsible for managing complex schedules, coordinating executive priorities, supporting confidential matters, and enabling seamless cross-functional collaboration across the organization.
Responsibilities
- Manage complex executive calendars for multiple senior leaders, including scheduling meetings, resolving conflicts, prioritizing requests, and coordinating across time zones
- Coordinate domestic and international travel, including transportation, accommodations, agendas, visas/passports, detailed itineraries, last-minute changes, and expense reporting
- Plan and support executive meetings, staff meetings, off-sites, team gatherings, trainings, retirements, visitor support, and other department events, including logistics, communications, technology, materials, and follow-up actions
- Prepare, proofread, and organize reports, presentations, executive correspondence, agendas, meeting materials, and other deliverables with strong attention to accuracy and detail
- Support Board of Directors-related activities, including coordinating logistics, preparing materials, and assisting with executive-level communications as needed.
- Manage purchasing activities, purchase order tracking, invoice processing, and issue resolution in partnership with internal teams and external suppliers
- Serve as a trusted point of contact for internal and external stakeholders, helping route requests, coordinate priorities, and support timely follow-through
- Partner cross-functionally with teams across the business to support executive priorities, department initiatives, and special projects
- Handle confidential and sensitive information with a high level of discretion, professionalism, sound judgment, and urgency
Experience Requirements
- 10+ years of experience supporting C-suite or senior executive leaders in an executive assistant capacity
- Experience supporting multiple executives simultaneously, ideally across complex corporate functions such as Human Resources, Legal, Strategy, or related areas. Previous experience supporting a legal team/executive is preferred
- Strong written and verbal communication skills, including experience preparing executive-level correspondence and supporting board-level interactions
- Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams
- Proven ability to manage shifting priorities, competing deadlines, and confidential information with professionalism and sound judgment
- Ability to support your leader during non-traditional working hours as needed
