The Opportunity

We are seeking a Facility Management Supervisor to join our Firm. This position will be based in our New York office (onsite) .

This role serves as the primary onsite supervisor for facilities operations. Scheduled hours are 1:30 p.m. to 9:30 p.m., Monday through Friday. The supervisor oversees Firm employees and external vendor personnel, supports day-to-day departmental operations, and ensures facilities services are delivered effectively and in compliance with Firm policies. Flexibility to adjust hours as needed to support operating and business needs is required.

Position Overview

Supervises the operations of the Facilities Management function and ensures departmental operating needs are met. Serves as the primary onsite supervisor for department personnel, including Firm employees and external vendor staff, and provides hands-on support for facilities services, event breakdowns and resets, mail and supply operations, and issue resolution. Participates in department projects, leads training efforts, and helps maintain efficient, technology-enabled processes and documentation.

Responsibilities

- Supervises the daily activity of department personnel during the evening shift and ensures operational needs are met in a timely, efficient, and service-oriented manner.
- Serves as the primary onsite supervisor for approximately 25 staff members, including a core group of Firm employees and external vendor personnel.
- Oversees second-shift facilities operations, including event breakdown, room resets, mail and supply support, and other departmental services required to maintain a high-quality office environment.
- Ensures accurate and timely responses to requests for departmental services and escalates issues as appropriate.
- Monitors time, attendance, overtime, and timesheet reporting to ensure accuracy and compliance with Firm policies and procedures.
- Enforces departmental and Firm policies and serves as the go-to resource for staff regarding attendance, scheduling, operational questions, and day-to-day issue resolution.
- Works closely with building staff and external vendors, including Swiss Post, to coordinate services and maintain continuity of operations.
- Provides hands-on leadership to the team, working alongside staff as needed to support departmental workflows and address service needs.
- Coordinates and oversees department projects, day-to-day operations, and long-range plans.
- Recommends and implements changes and improvements in methods, procedures, and workflows to enhance efficiency, service delivery, and operational effectiveness.
- Develops, communicates, and maintains departmental guidelines, procedures, and documentation, including refreshing documented processes and training materials as needed.
- Leads training for team members on department procedures, service standards, and relevant technologies and systems.
- Ensures current knowledge of Firm policies and practices, current knowledge of industry trends, and continued professional development for business services professionals.
- Participates in the interviewing, selection, onboarding, and training process for department personnel.
- Effectively utilizes the Firm’s performance management process to communicate expectations, monitor performance, provide coaching, and address performance concerns.
- Recommends and participates in disciplinary procedures and initiates disciplinary actions in collaboration with the People Team, as appropriate.
- Manages department finances responsibly and supports adherence to budget expectations.
- Coordinates with internal stakeholders, vendors, and building management to resolve operational issues and support departmental objectives.
- Uses department and building technologies effectively, including CAFM and related operational systems, to monitor work, support service delivery, and improve team performance.
- Maintains regular and reliable physical presence to support the team, meet with internal clients and vendors, and use onsite equipment.
- Complies with and understands Firm operations, policies, and procedures.
- Performs other related duties as assigned.

Qualifications

- Knowledge of Facility Management operations, procedures, and best practices, preferably within a professional services or law firm environment.
- Current knowledge of industry trends, building operations, and service delivery standards.
- Thorough knowledge of relevant Firm computer software programs and operational systems, with the ability to learn new software and operating systems quickly. Relevant systems may include Outlook, Excel, PowerPoint, Workday, PS Ship, FMI Workplace or similar ticketing platforms, Computer Aided Facility Management (CAFM) systems, Building Management Systems (BMS), Angus, Molex lighting systems, and Genia HVAC systems.
- Ability to supervise a blended team of internal staff and external vendor personnel and ensure service expectations, attendance standards, and Firm policies are consistently upheld.
- Experience supporting automated processes and using technology to manage workflows, equipment, and service requests.
- Ability to lead training initiatives and help maintain and improve departmental process documentation.
- Knowledge of annual budget processes and ability to manage departmental resources responsibly.
- Handles complex issues requiring independent judgment, sound decision-making, and appropriate escalation.
- Flexibility to adjust hours and work the hours necessary to meet operating and business needs.

- Strong communication and relationship management skills, with the ability to work effectively with internal clients, building staff, vendors, and team members at all levels.
- Strong organizational and technical skills, with close attention to detail and the ability to manage multiple workflows, maintain confidentiality, use departmental systems effectively, and support process improvement and training

Education and Experience Required

- High School diploma or equivalent.
- Minimum eight years of related experience and four years of supervisory experience, including experience with performance management evaluations.
- Relevant experience in facilities, office services, workplace operations, or a similar function within a law firm, professional services or other fast paced client facing environment.

The starting base salary for this position is expected to be within the range listed under Salary Details.  Actual salary will be determined based on skills, experience (to the extent relevant) and other-job related factors, consistent with applicable law.

Salary Details
$105,000 - $120,000
