Order Processing Specialist

Location: Chicago, IL 60623 (Harder to commute by public transportation) Schedule: Monday-Friday, 7:30 a.m.-4:00 p.m. Position Type: Full-Time | On-Site
### What We're Looking For
1-3 years of recent experience in customer service, order processing, order entry, sales support, account support, or a similar role . Experience entering, processing, and tracking customer orders. Strong customer service and communication skills. Comfortable communicating with customers by phone and email. Strong attention to detail and accuracy. Ability to stay organized while managing multiple orders and priorities at once. Strong follow-up skills and a willingness to take ownership of customer requests. Ability to research problems and work toward a solution. Comfortable using Microsoft Office and learning new computer systems. Dependable, self-motivated, and able to work effectively with a team. We are seeking an Order Processing Specialist to join a stable, well-established organization serving customers within the utility and industrial supply industry. In this role, you will help manage customer orders from start to finish, including preparing quotes, entering and tracking orders, communicating with customers and vendors, and resolving issues that may impact delivery. This is a great opportunity for someone who enjoys staying organized, solving problems, and providing excellent customer service in a fast-paced environment. You don't need to know every product on day one. We're looking for someone who is detail-oriented, dependable, comfortable working with computer systems, and committed to following customer orders through to completion.
### What You'll Be Doing
Process customer orders accurately and ensure they move through the system in a timely manner. Prepare quotes for customers based on product availability and their specific needs. Track open orders and proactively follow up on delays, backorders, and upcoming delivery dates. Communicate with customers regarding order status, product availability, changes, and delivery updates. Work directly with vendors to locate products, confirm availability, and place special or urgent orders. Help find alternative products when requested items are unavailable or discontinued. Make updates and changes to existing orders and ensure information is accurately documented. Work with internal teams to resolve billing, invoicing, pricing, or payment-related order issues. Research and resolve order discrepancies, including shortages, damaged products, or incorrect shipments. Maintain accurate order information and documentation within the company's computer system. Respond promptly to customer questions and requests. Help train and support team members on order processing systems and procedures. Partner with sales, operations, finance, vendors, and other internal teams to keep orders moving and customers informed.
### Work Environment
This is a full-time, on-site position in Chicago . Standard hours are 7:30 a.m. to 4:00 p.m., Monday through Friday , with occasional additional hours during busier periods. The environment is professional but team-oriented, with an emphasis on communication, customer service, accuracy, and working together to get the job done. Pay and Benefits
The pay range for this position is $24.00 - $26.44/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
