Job role
Vendor Contract Manager PMO is responsible for providing end-to-end administrative and coordination support across the vendor and contract management lifecycle. This role serves as the operational backbone for procurement, third-party risk management (TPRM), contract administration, vendor onboarding, and governance reporting. The position requires strong organizational skills, cross-functional stakeholder coordination, and the ability to navigate multiple systems and workflows to ensure completeness, compliance, and timely execution.
What you will do
Procurement & Contract Administration:
- Coordinate purchase requisition (PR) and purchase order (PO) activities in Ariba, ensuring alignment with budget approvals and procurement policies.
- Support contract creation, review cycles, renewals, amendments, and terminations using GBUY and related contracting platforms.
- Maintain accurate and up-to-date contract records, including key dates, terms, obligations, and renewal timelines.
- Perform completeness checks on contract documentation and flag gaps or inconsistencies for resolution.
Third-Party Risk Management (TPRM):
- Coordinate TPRM assessments and workflows, ensuring timely initiation, completion, and documentation of risk evaluations.
- Track and follow up on open TPRM action items with relevant stakeholders.
- Support compliance with TPRM controls, including due diligence, risk scoring, and periodic reassessments.
Vendor & Personnel Onboarding:
- Manage the end-to-end onboarding process for external vendors and personnel, including access requests, documentation collection, and system setup.
- Coordinate with IT, Security, Procurement, and HR to resolve access delays and dependencies.
- Ensure onboarding activities comply with information-security and access-control requirements.
PO & Spend Tracking:
- Monitor and track purchase orders, committed spend, and actuals against approved budgets.
- Prepare spend reports and variance analyses to support financial oversight and decision-making.
- Validate invoices against contractual terms, PO values, and delivery milestones before processing.
System Updates & Workflow Coordination:
- Maintain and update records in GBUY, ServiceNow, Ariba, and other relevant systems to reflect current status of all workflows.
- Ensure seamless handoffs and dependencies between budget approval, TPRM, contracting, and onboarding processes.
- Perform regular data-quality and completeness checks across systems.
Governance, Reporting & Escalation:
- Prepare governance reports covering contract status, vendor pipeline, risk posture, compliance adherence, and process KPIs.
- Provide end-to-end visibility across the vendor management lifecycle through dashboards and status updates.
- Identify bottlenecks, escalate blocked items proactively, and drive resolution with relevant stakeholders.
- Support audit readiness by maintaining complete documentation trails and ensuring segregation of duties.
Stakeholder Management:
- Act as the central point of contact for cross-functional stakeholders including Procurement, Legal, TPRM, Finance, IT, and business requestors.
- Conduct regular follow-ups to ensure timely responses, approvals, and task completions.
- Facilitate communication and alignment between process owners and process users.
AI Demand Management Process Coordination:
- Drive the end-to-end AI Use Case Demand Management Process (AI-DMP) – from initial demand intake through to approved project setup in ServiceNow PPM.
- Guide AI use case demands through all required governance phases (Capture, Evaluate, Validate, Confirm, Implement), ensuring completeness of documentation and adherence to process timelines.
- Coordinate mandatory safeguarding reviews with IT Enterprise Architecture, ISO, Legal, Compliance, and IT Governance to obtain required approvals.
- Manage demand status tracking and reporting in IRIS / ServiceNow, providing transparency to stakeholders on progress, blockers, and next steps.
- Ensure approved AI demands are formally transitioned into a project in ServiceNow PPM, including budget allocation and resource assignment readiness.
- Facilitate handoff of approved projects into the procurement and contracting workflow (PR/PO creation in Ariba) where external vendor involvement is required.
What you bring
- Bachelor's degree in Business Administration, Supply Chain Management, Finance, or a related field.
- 3–5 years of experience in vendor management, contract administration, procurement operations, or PMO support.
- Proven experience working with enterprise procurement and contract management systems (e.g., Ariba, GBUY, or equivalent).
- Experience with TPRM processes and compliance frameworks is highly desirable.
- Familiarity with ServiceNow or similar ITSM/workflow platforms.

- Fluent in English (written and spoken); additional languages are an advantage.
