Job Title: Client Coordinator / Service Coordinator Job Description
The Client Coordinator / Service Coordinator serves as a key point of contact for customers and business partners, ensuring a seamless and professional customer experience. In this role, you manage inbound customer communications, maintain accurate client information, update customer portals, and provide administrative support to internal teams. You will be cross-trained across two critical support functions and provide backup coverage as needed, helping to maintain continuity of service and operational efficiency in a fast-paced environment.
Responsibilities
- Serve as a primary point of contact for customers and business partners, responding promptly and professionally to inbound calls, emails, and other communications.
- Manage inbound customer communications using two different phone systems, including an automatic dialer and a non-automatic phone system, and adapt your approach based on the technology used.
- Maintain and update client information in customer portals, databases, or CRM systems to ensure records are accurate, complete, and current.
- Provide administrative support to internal teams, including clerical tasks, documentation, and data entry related to client accounts and service activities.
- Support and enhance the customer experience by ensuring inquiries are handled efficiently and issues are escalated or resolved in a timely manner.
- Be cross-trained across two critical support functions within the organization and provide backup support and coverage for both teams when needed.
- Collaborate with colleagues to ensure continuity of service and operational efficiency, especially during busy periods or coverage gaps.
- Organize and prioritize multiple tasks and requests in a fast-paced environment while maintaining strong attention to detail.
- Communicate clearly and professionally in both verbal and written formats with customers, business partners, and internal stakeholders.
- Utilize Microsoft Office applications, including Outlook, Excel, and Word, to manage communications, track information, and support daily operations.
Essential Skills
- 2+ years of customer service, administrative support, insurance operations, or related experience preferred.
- Strong verbal and written communication skills, with the ability to interact professionally with customers and business partners.
- Excellent organizational skills and attention to detail, with a focus on accuracy in data and documentation.
- Ability to manage multiple tasks and priorities in a fast-paced environment.
- Proficiency with Microsoft Office Suite, including Outlook, Excel, and Word.
- Experience working with customer portals, databases, or CRM systems preferred.
- Ability to work independently while also collaborating effectively within a team environment.
Additional Skills & Qualifications
- Background in client services or support roles is beneficial.
- Comfort working with different phone systems, including automatic dialers and standard phone systems.
- Demonstrated reliability and flexibility in providing backup support across multiple teams.
- Interest in contributing to a growing organization with expanding operations.
Work Environment
This position is based in a newly renovated office environment with a cubicle-style layout located in a collaborative pit area. You will work on-site using standard office technologies, including multiple phone systems and computer-based tools such as Microsoft Office and customer portals or CRM systems. Weekend hours may be required during specific periods (for example, 10:00 a.m. to 3:00 p.m. on both weekend days, with some flexibility as needed), in addition to regular weekday office hours. The setting supports close collaboration with teammates while providing an organized workspace for focused customer service and administrative tasks.

This is a Contract to Hire position based out of Richfield, OH.
Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
