Continuing along it highly successful growth trajectory, San Francisci Federal is seeking an Executive Assistant for our Golden Gate Branch in San Francisco.

The Position

The Executive Assistant provides comprehensive administrative support to the Chief Executive Officer and two Executive Vice Presidents. The role is responsible for coordinating schedules, meetings, expenses, travel, and other administrative activities that help the executives operate efficiently and stay focused on organizational priorities.

The ideal candidate is highly organized, responsive, detail-oriented, and comfortable managing multiple priorities in a fast-paced environment. This position requires professionalism, discretion, strong follow-through, and the ability to work effectively with employees, Board members, and external partners.

Key Responsibilities

- Manage and maintain calendars for the CEO and two Executive Vice Presidents, including scheduling and coordinating meetings, appointments, and events.

- Coordinate complex scheduling across executives, departments, Board members, and external stakeholders.

- Monitor calendars for conflicts and proactively address scheduling issues.

- Prepare executives for meetings by coordinating agendas, presentations, reports, and other materials.

- Arrange business travel, including transportation, accommodations, itineraries, and related logistics.

- Prepare and process expense reports, invoices, and other administrative documentation.

- Coordinate logistics for executive meetings, Senior Leadership Team meetings, Board-related activities, off-sites, and organizational events.

- Draft, format, proofread, and distribute correspondence, presentations, reports, and other materials.

- Track meeting follow-up items and assist executives with maintaining deadlines and commitments.

- Respond to and appropriately route meeting requests, correspondence, and inquiries.

- Maintain organized electronic files, records, contact information, and executive materials.

- Assist with special projects and administrative assignments as requested.

- Coordinate with other departments to obtain information, materials, or support needed by the executives.

- Provide backup administrative support and assist with broader organizational activities as needed.

- Handle confidential and sensitive information with discretion and professionalism.

- Represent the executive office professionally in interactions with employees, Board members, members, business partners, and community contacts.

Who Are You?

Qualifications

- 3–5 years of administrative or executive administrative support experience.

- Experience supporting senior executives strongly preferred.

- Excellent organizational and time-management skills.

- Exceptional attention to detail and follow-through.

- Ability to manage multiple calendars, deadlines, and competing requests.

- Strong written and verbal communication skills.

- Demonstrated professionalism and ability to maintain confidentiality.

- Strong interpersonal and customer-service skills.

- Ability to adjust quickly as schedules and priorities change.

- Proficiency with Microsoft Outlook, Word, Excel, PowerPoint, Teams, and other standard business applications.
