About this role
Documentation Specialist
Shape the Future of Documentation in Pharmaceutical R&D
Are you a Veeva expert who enjoys building processes, driving compliance, and creating efficient documentation systems? We're looking for a Documentation Specialist to play a critical role in supporting and evolving document management practices within a growing pharmaceutical R&D organization. This is more than a traditional document control position. As our Veeva footprint expands, you'll have the opportunity to help design, enhance, and optimize documentation workflows that support scientific innovation, quality excellence, and regulatory compliance. You'll partner with cross-functional teams across Quality, Operations, and R&D while serving as a key resource for Veeva administration and controlled documentation processes. If you're passionate about improving systems, ensuring compliance, and making a lasting impact in a highly regulated environment, we'd love to hear from you.
What You'll Do
- Manage controlled documentation throughout the entire document lifecycle, including creation, revision, approval, archival, and records management
- Serve as a key administrator and subject matter expert for Veeva documentation platforms and related electronic document management systems
- Ensure documentation complies with GMP requirements, quality standards, and internal procedures
- Support internal audits, inspections, and regulatory readiness by maintaining complete, accurate, and easily accessible records
- Administer user access, permissions, and security controls to protect document integrity and confidentiality
- Partner with stakeholders to build, configure, and continuously improve Veeva-based workflows and processes
- Develop and maintain document control procedures that align with quality systems and change management requirements
- Collaborate with Quality, Scientific, and Operations teams to support documentation needs across the organization
- Create, revise, and manage documents, reports, and procedures using Microsoft Office applications
- Independently prioritize projects, manage deadlines, and drive documentation initiatives to successful completion
What We're Looking For
Required Qualifications
- 2-4 years of hands-on Veeva experience in a document control, quality systems, or regulated environment
- Experience supporting controlled documentation processes and electronic document management systems (EDMS)
- Strong understanding of document control principles, including revision management and change control
- Knowledge of GMP documentation practices and quality systems requirements
- Proficiency with Microsoft Office applications, including Word, Excel, and PowerPoint
- Exceptional organizational skills with the ability to manage multiple priorities independently
- Strong written communication and technical documentation abilities
- Demonstrated ability to maintain confidentiality and data integrity within electronic systems
Preferred Qualifications
- Experience serving as a Veeva Administrator or Veeva Specialist
- Background in pharmaceutical, biotechnology, life sciences, or other regulated industries
- Experience supporting audit readiness and regulatory inspections
- Strong process improvement mindset with a passion for optimizing workflows and systems
- Ability to collaborate effectively with cross-functional stakeholders across multiple departments
Why Join Us?
- Be a key contributor in expanding and enhancing a growing Veeva environment
- Influence how documentation processes are designed and implemented, rather than simply maintaining existing systems
- Gain exposure to pharmaceutical R&D, quality systems, and regulatory operations
- Work closely with scientists, quality professionals, and operational leaders
- Enjoy the flexibility of a hybrid work environment, with remote candidates on Eastern Time considered
- Join a long-term project with approximately 24 months of anticipated engagement

You'll support pharmaceutical R&D operations within a collaborative, fast-paced environment where quality, innovation, and continuous improvement are highly valued.
