Job Summary
The Inside Sales Representative supports Outside Sales Representatives and assists phone and walk-in customers. Responsibilities include processing customer orders, coordinating truck and rail deliveries, verifying inventory, communicating product availability, preparing loading tickets, processing payments, and supporting accurate and timely order fulfillment. This position works closely with customers, sales representatives, dispatch, loading supervisors, transportation providers, and plant personnel.
Essential Job Functions
- Process customer orders accurately using company systems.
- Coordinate truck deliveries with dispatch.
- Manage rail delivery orders and communicate with loading supervisors and railroad service providers regarding schedules and requirements.
- Generate loading tickets for contract truck drivers and customer pickups.
- Assist phone and walk-in customers with product questions, orders, loading tickets, receipts, and general customer service.
- Verify product inventory and availability.
- Communicate with loading supervisors regarding inventory accuracy and order readiness.
- Notify customers when orders are ready for pickup or delivery and coordinate delivery logistics.
- Prepare reports and maintain accurate sales, shipping, customer, and operational records.
- Communicate professionally with customers, sales representatives, dispatch, transportation providers, and plant personnel.
- Accept and accurately record cash, check, credit card, and other approved customer payments.
- Issue receipts and maintain payment records.
- Protect confidential customer financial information and company funds.
- Maintain a clean and organized work area.
- Perform other duties as assigned.
Physical Requirements
- Prolonged sitting and frequent computer and telephone use.
- Occasional standing and walking throughout the office, showroom, loading yard, and plant.
- Occasional bending and reaching.
- Ability to communicate effectively in person and by telephone.
- Ability to occasionally lift and carry materials, samples, and office supplies up to 25 pounds. Heavier items may require assistance or material-handling equipment.
- Ability to read printed and electronic documents and view computer screens.
Work Environment
- Primarily an office environment within a manufacturing operation.
- Occasional work in manufacturing, warehouse, and loading yard areas.
- Exposure to varying noise levels in production and loading areas.
- Required PPE when entering applicable areas, including safety glasses, hearing protection, and steel-toe boots as required.
Knowledge, Skills, and Abilities
- Ability to read, write, and understand customer orders, inventory reports, shipping documents, correspondence, and company procedures.
- Strong customer service and communication skills.
- Strong organization and attention to detail.
- Computer, data entry, email, and standard office software skills.
- Ability to prioritize tasks and manage multiple responsibilities.
- Ability to work independently and as part of a team.
- Ability to maintain accuracy in a fast-paced environment.
- Ability to complete required training and follow job-related procedures.
Education and Experience
- High School Diploma or GED preferred.
- Previous customer service, sales support, administrative, or office experience preferred.
- Manufacturing, construction materials, transportation, or logistics experience preferred.
Schedule
Full-time, Monday through Friday, 8:00 AM – 5:00 PM. Additional hours may be required for inventory counts, peak business periods, or operational needs.
Safety Requirements
- Follow all company safety policies and procedures.
- Complete required safety training.
- Wear required PPE in production, warehouse, and loading areas.
- Report unsafe conditions, incidents, and injuries immediately.
- Participate in required safety meetings and training.
