The Target Pay Range for this position is $34.00 - $43.00/hour. At Antech, pay decisions are determined using factors such as relevant job-related skills, experience, education, training and budget.

JOB OVERVIEW

The Executive Assistant provides high-level administrative and operational support to executive leadership. This role requires exceptional organizational, communication, and relationship-management skills, along with the ability to anticipate needs, manage competing priorities, and maintain strict confidentiality. The successful candidate will serve as a trusted partner to executives while collaborating effectively with internal teams and external stakeholders.

KEY RESPONSIBILITIES

- Manage complex executive calendars, scheduling priorities, and time-sensitive commitments.

- Partner closely with executives to prioritize competing demands, manage critical communications, and support daily business operations.

- Coordinate and manage domestic and international travel arrangements, including itineraries, accommodations, transportation, and related logistics.

- Prepare and submit executive expense reports accurately and in a timely manner.

- Draft, edit, proofread, and distribute professional correspondence, reports, presentations, and other business communications.

- Attend meetings as needed to capture, organize, and distribute meeting notes, action items, and follow-up communications.

- Coordinate logistics for leadership meetings, off-site events, and company functions.

- Support the administrative and operational needs of executive leadership teams.

- Handle confidential, sensitive, and proprietary information with the highest level of discretion.

- Serve as a liaison between executives and internal and external stakeholders, fostering strong professional relationships.

- Assist with special projects and process improvement initiatives as assigned.

- Availability outside standard business hours may occasionally be required to support executive and business needs.

KNOWLEDGE, SKILLS & ABILITIES

- Exceptional organizational, interpersonal, written, and verbal communication skills.

- Ability to manage multiple complex tasks simultaneously while maintaining attention to detail and meeting deadlines.

- Proven ability to maintain confidentiality and exercise sound judgment in handling sensitive information.

- Strong relationship-building skills with the ability to work effectively with executives, clients, vendors, and other stakeholders.

- Proficiency with Microsoft 365 applications, including Outlook, Word, Excel, PowerPoint, Teams, and other business collaboration tools.

- Strong problem-solving skills with the ability to anticipate needs and proactively address challenges.

- Ability to work independently while also collaborating effectively across teams and departments.

- Strong professional presence and customer-service orientation.

EDUCATION & EXPERIENCE:

- Associate's Degree in Business Administration or a related field preferred; equivalent professional experience will be considered.

- Minimum of 5 years of Executive Assistant experience supporting senior leaders or executive-level management.

- Demonstrated experience supporting multiple executives and managing competing priorities in a fast-paced environment.

- Experience coordinating meetings, travel, events, and executive communications.

WORK ARRANGEMENT:

This is a hybrid role based in the New York City office. The successful candidate is expected to work onsite 2-3 days per week and maintain flexibility to adjust their schedule and in-office presence as needed to support executive, business, and operational requirements. Occasional travel of up to 25% may be required to support business activities, leadership meetings, and company events.

WORKING CONDITIONS

The majority of the work will take place in a typical office environment. Temperature extremes will be minimal to nonexistent. The noise level in the work environment is usually moderate. The employee is regularly required to apply manual dexterity, including hand/wrist flexibility, for computer work. The employee frequently is required to sit for extended periods of time, stand, walk, and reach with hands and arms.  The employee is frequently required to hear and speak in order to use the telephone, make presentations and communicate with people in an office environment. The employee must occasionally lift and/or move up to 15 pounds.
