JOB SUMMARY:
The Clinical Operations Coordinator supports the efficient operation of the primary care practice by coordinating clinical workflows, optimizing electronic medical record (EMR) functionality, supporting regulatory compliance, and advancing quality improvement initiatives. This role serves as a key operational resource for providers and staff by promoting standardized workflows, accurate documentation, effective communication, and efficient clinic operations.
Working collaboratively with clinical and administrative leadership, the Clinical Operations Coordinator supports provider efficiency, population health initiatives, clinic implementation activities, and continuous process improvement to enhance operational performance and patient care outcomes.
ESSENTIAL FUNCTIONS:
EMR Administration and User Support
- Serve as the primary operational resource for eClinicalWorks (eCW) users by providing first-level support, troubleshooting, and workflow guidance.
- Configure, maintain, and optimize EMR templates, order sets, smart forms, and clinical workflows.
- Monitor interface functionality and coordinate issue resolution with vendors and IT support.
- Provide ongoing EMR education and support to providers and staff to promote accurate documentation and efficient system use.
- Develop and maintain EMR training materials, user guides, and standard operating procedures.
Clinical Operations and Workflow Improvement
- Collaborate with providers, clinical staff, and leadership to improve clinic efficiency, patient flow, and operational performance.
- Evaluate operational processes and recommend workflow improvements that enhance productivity, documentation quality, and the patient experience.
- Assist with the implementation of operational initiatives, policy updates, and standardized workflows across practice locations.
- Serve as a liaison between leadership and clinic staff to facilitate communication and operational consistency.
Regulatory Compliance and Quality Improvement
- Support compliance with HIPAA, OSHA, MIPS, and other applicable regulatory requirements.
- Conduct documentation, workflow, and compliance audits and coordinate follow-up activities as needed.
- Monitor data quality and support accurate clinical documentation and coding practices.
- Assist with quality improvement initiatives by tracking performance measures, identifying opportunities for improvement, and supporting corrective action plans.
Population Health and Clinical Program Support
- Support population health initiatives through data collection, quality reporting, medication adherence programs, and preventive care activities.
- Assist with monitoring quality metrics and regulatory reporting requirements.
- Collaborate with providers and clinical teams to support organizational quality and performance goals.
Clinic Operations and Special Projects
- Support operational planning and implementation for new clinic locations and practice initiatives.
- Coordinate EMR configuration, workflow development, and operational readiness for new services or locations.
- Participate in cross-functional projects that improve clinical operations, patient care, and organizational performance.
General Responsibilities

- Perform other duties and special projects assigned in support of departmental and organizational objectives.
Qualifications
Minimum Job Qualifications:
Experience:
- Minimum 2–3 years of experience in a healthcare setting, preferably in a clinical operations, EMR support, or administrative coordination role
- Hands-on experience with eClinicalWorks (eCW) strongly preferred- super user preferred
- Experience in compliance (OSHA, HIPAA)
Certifications (Preferred but not required):
- LPN / RN certification needed to maintain during employment.
- Certified Electronic Health Records Specialist (CEHRS), Certified Medical Office Manager (CMOM), or similar
- BLS Certification tracking experience required; clinical licensure (e.g., MA, LPN) a plus but not mandatory
- OSHA or HIPAA compliance certification preferred
Skills and Competencies:
- Strong working knowledge of EMR systems (especially eCW- super user status), healthcare workflows, and documentation standards
- Excellent communication, training, and interpersonal skills
- Strong organizational and multitasking abilities
- Knowledge of healthcare regulations and quality reporting (e.g., MIPS)
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook, Teams)
