Your Team, Your Impact

The Associate Workplace Specialist ensures operational excellence, safety, and service delivery for our Santa Clara headquarters. This role acts as a key liaison between employees, site leadership, and Global Workplace Services (GWS), supporting daily building operations, vendor management, capital programs, budgeting, and health and safety compliance. What You Can Expect

Workplace Experience & Customer Engagement

- Serve as the primary point of contact for site leaders and employees; respond to service requests promptly and drive a culture of service excellence
- Oversee day-to-day workplace services including events, catering, furniture, signage, and moves/adds/changes (MAC) coordination
- Manage vendor escorts, badge access requests, and site security coordination as needed
- Administer employee satisfaction surveys and act on feedback to improve service delivery
- Participate in the Emergency Response Team (ERT); support emergency preparedness drills and
- protocols
- Support ISO audit walks, document findings, and help drive corrective actions to closure
- Order and manage inventory of GWS supplies and materials
- Draft, edit, and distribute internal communications, announcements, and site-wide updates
- Maintain up-to-date signage, wayfinding, and site information for employees and visitors

Budgeting & Financial Management

- Support development and management of operating budgets; track spending, forecast costs, and identify variances
- Process invoices, purchase requisitions (PRs), and purchase orders (POs) in Oracle
- Coordinate permits, city and county compliance filings, and tax documentation
- Administer ChargePoint (EV charging) systems, including access, billing, and maintenance coordination
- Source, evaluate, and onboard vendors; negotiate agreements, define service level agreements (SLAs), and conduct regular performance reviews
- Reconcile monthly spend against budget and prepare variance reports for leadership

Program Management

- Oversee a portfolio of facility programs, including capital improvements, space reconfigurations, and
- workplace upgrades, ensuring alignment with broader GWS strategy and site roadmaps
- Coordinate cross-functionally with IT, Security, Real Estate, and HR to align program timelines, budgets, and deliverables across multiple concurrent initiatives
- Develop and maintain program governance tools, including status reporting, budget tracking, and risk registers, to keep leadership informed and initiatives on track
- Standardize processes and templates across projects to improve consistency, efficiency, and repeatability
- Track program-level milestones, dependencies, and risks; escalate issues proactively and recommend mitigation strategies
- Maintain accurate program records, reporting dashboards, and SharePoint documentation
- Partner with Real Estate on space planning and occupancy tracking to inform program prioritization and long-term site strategy

Health, Safety & Compliance

- Support implementation of workplace health and safety programs, including inspections, hazard reporting, and corrective action tracking
- Ensure compliance with local, state, and federal regulations (OSHA, fire/life safety, ADA, environmental)
- Maintain accurate records for audits, incident reports, and safety training completion
- Partner with EHS and Security teams on emergency preparedness and business continuity planning

What We're Looking For

Education & Experience

- Bachelor's degree in Facilities Management, Engineering, Business Administration, or related field preferred; equivalent experience considered
- 3+ years of experience in facilities management, workplace operations, or a related field
- Experience supporting distributed or multi-site operational environments (corporate, industrial, labs, logistics, or multi-office portfolios) preferred

Skills & Competencies

- Excellent verbal and written communication and customer service skills across in-person and virtual channels
- Proactive problem-solver able to manage competing priorities across multiple sites and stakeholders
- Proficiency with Microsoft 365, Oracle (or similar ERP/procurement systems), and budgeting tools
- Strong analytical skills with the ability to use data to inform decisions and improve service delivery
- Highly organized and detail-oriented, with the ability to manage multiple concurrent projects
- Comfortable working in a fast-paced environment with shifting priorities and occasional after-hours support needs
- Working knowledge of building systems, vendor management, and health/safety practices a plus

Certifications (Preferred)

- Certified Facility Manager (CFM), Facility Management Professional (FMP), or Sustainability Facility
- Professional (SFP)
- LEED Green Associate or LEED AP
- OSHA 10/30 or equivalent safety certification

Physical Requirements

- Ability to walk large campus facilities, including stairs, and occasionally lift up to 25 lbs
- Availability for occasional early morning, evening, or weekend support for events or emergencies

Expected Base Pay Range (USD)
67,200 - 100,600, $ per annum

The successful candidate’s starting base pay will be determined based on job-related skills, experience, qualifications, work location and market conditions. The expected base pay range for this role may be modified based on market conditions.
