About the CASA House Program
You will be part of a team that provides individual, group and family therapy, social and life skills training, and on-site schooling in small classroom settings. CASA House is a live-in program for teens who need support with significant mental health and/or addiction challenges. Teens stay at CASA House for an average of four months.

About the Role
This position provides provincial coordination and operational oversight of administrative activities supporting CASA Day Programs and House. The role primarily supports the administrative functions of all Program Managers while assisting Day and House teams in coordinating administrative workflows, maintaining consistency across regions, and facilitating effective communication, scheduling, and documentation practices.

The Day and House Program Administrative Coordinator supports the smooth and effective delivery of Day and House programming by overseeing shared administrative processes, managing escalations, coordinating onboarding and training logistics, and maintaining program-level tracking and reporting tools. The role requires sound judgment, strong organizational skills, and the ability to manage competing priorities while supporting alignment and consistency across multiple sites within a provincially coordinated environment.

The Day Programs and House Administrative Coordinator will:
- Provide provincial coordination of administrative operations supporting CASA House and Day Programs leaders across all regions.
- Act as the primary administrative partner to Program Managers for CASA House and Day Programs related operational needs.
- Coordinate regional administrative workflows to ensure consistency, efficiency, continuity of programming, and alignment across CASA House and Day Programs sites.
- Monitor operational issues, trends, and risks impacting CASA House and Day Programs administration and escalate appropriately.
- Coordinate updates to templates, trackers, shared inboxes, calendars, and documentation practices as necessary to ensure consistency across House and Day programs.
- Coordinate administrative onboarding logistics for new CASA House and Day Programs staff, including timelines, documentation, access coordination, and training requirements.
- Support continuity by documenting administrative processes and ensuring program knowledge is maintained and accessible across regions.
- Coordinate scheduling and logistics for provincial CASA House and Day Programs meetings, Program Manager meetings, working groups, and other operational meetings as required.
- Manage or oversee shared inboxes and calendars related to CASA House and Day Programs Leaders, ensuring timely and appropriate responses and follow-up.
- Facilitate communication between Program Managers, CASA teams, internal careholders, and external partners as required.
- Prepare summaries, reports, data extracts, and other administrative information to support Program Managers and leadership decision-making.
- Coordinate administrative aspects of ordering, VISA reconciliation, billing, invoicing, expense tracking, or reporting processes as required in support of Program Managers.
- Support administrative coordination of staff scheduling related to House operations.
- Identify opportunities to improve administrative processes and support consistent practices across CASA House and Day Programs locations.

Knowledge, Skills and Abilities
- Proficiency in Microsoft 365 Suite including SharePoint, Teams, Outlook and Excel.
- High level of accuracy with data entry.
- Excellent calendar management, coordinating multiple calendars.
- Excellent verbal and written communications skills.
- Excellent attention to detail, multitasking, organizational and time management skills.
- Demonstrated ability to take initiative, prioritize and navigate shifting priorities as needed.
- Must be able to complete assigned duties independently and take strong initiative to action decisions and identify future direction.
- Ability to work with sensitive and confidential materials and maintain a high level of confidentiality.
- Ability to transcribe information and create meeting minutes from recordings or meetings.
- Ability to maintain accuracy while multitasking or working under pressure.
- Minimum typing of 50wpm with 95% accuracy.

Qualifications and Experience
- Bachelor’s degree or diploma in business administration, office management or a relevant field, or related equivalency.
- A minimum of five years of related administrative experience or related equivalency.

Conditions of Employment
