- Over one year of experience in PMO support, project coordination, portfolio administration, business operations, reporting, data management, or related roles.
- Experience working with ServiceNow, including data entry, reporting, workflow administration, or portfolio-related activities.
- Strong attention to detail and ability to maintain data accuracy across multiple systems and reporting sources.
- Strong organizational, analytical, communication, and follow-up skills with the ability to drive assigned tasks to completion.
- Must live local to the Buffalo, NY area to work onsite.

Preference will be given to candidates who have:

- Experience with ServiceNow Strategic Portfolio Management (SPM).
- Familiarity with project management methodologies (Agile, Waterfall).
- Familiarity with portfolio governance, project lifecycle administration, and operational reporting.
- Experience developing or maintaining tracking repositories, reporting solutions, operational dashboards, or Power BI reports.

As the Portfolio Coordinator, you will…

- Coordinate portfolio information in ServiceNow SPM and related modules, partnering with record owners to keep records current and validated.
- Monitor portfolio data quality and proactively identify missing, incomplete, outdated, or inaccurate information.
- Partner with Business Analysts, Project Managers, Procurement, Finance, and technology stakeholders to resolve data discrepancies and maintain reliable portfolio records.
- Support the ongoing optimization of portfolio management processes, reporting, workflows, and tools through configuration, testing, and the strategic use of AI and automation to drive continuous improvement and operational excellence
- Prepare recurring portfolio reports, dashboards, scorecards, and status summaries.
- Consolidate project and demand information from multiple sources into standardized reporting outputs.
- Monitor portfolio metrics, data completeness, and reporting trends requiring follow-up or escalation.
- Support executive and governance reporting by preparing data, summaries, and presentation inputs prescribed by portfolio leadership.
- Support Business Analysts and Project Managers with portfolio processes, standards, reporting requirements, and data entry expectations.
- Monitor key portfolio activities and follow up on outstanding updates, actions, and deliverables.
- Assist with portfolio intake administration, project registration, status updates, lifecycle administration, documentation maintenance, templates, and process materials.
- Coordinate and oversee the intake process for non-project operational work, ensuring requests are routed appropriately, required groups complete their reviews and actions, and items are shepherded through the process to closure.
