Job Title: Property Associate (PM) Job Description This contract Property Associate role offers a valuable opportunity to provide critical operational support during a high-activity period for a commercial property. You will work closely with the on-site team to maintain smooth property operations, support tenant services, manage compliance tracking, and coordinate construction activities. This is a temporary position for approximately two to three months, with the potential to revisit conversion at the end of the contract. The role is ideal for a detail-oriented property management professional who enjoys working independently, managing multiple priorities, and contributing to a dynamic commercial real estate environment. Responsibilities
- Track and maintain Certificates of Insurance and insurance compliance for approximately 24 tenants, ensuring all documentation remains current and accurate.
- Process and reconcile tenant allowance packages, including monitoring disbursement timelines and ensuring alignment with lease terms.
- Prepare and issue rent commencement letters and default notices as needed in accordance with established procedures.
- Coordinate water billing activities and respond to tenant billing inquiries in a timely and professional manner.
- Maintain organized and up-to-date lease documentation, vendor files, and related records to support operational transparency and compliance.
- Support Accounts Receivable and Accounts Payable processes, including follow-up and processing to ensure timely payments and collections.
- Assist with mid-year financial reviews and preparation for budget season by gathering data, organizing documentation, and supporting analysis.
- Support common area maintenance (CAM) reconciliation processes by assisting with data collection, review, and documentation.
- Process invoices accurately and coordinate payment workflows to meet internal timelines and vendor expectations.
- Coordinate construction activity across multiple active tenant build-outs, ensuring alignment with project schedules and property operations.
- Liaise with contractors on site improvements such as paving, striping, and landscaping to support safe and efficient property operations.
- Ensure construction activities are safely coordinated with daily property operations, minimizing disruption to tenants and visitors.
- Maintain regular communication with vendors and service providers to support ongoing maintenance, services, and project work.
- Provide administrative support for marketing events and specialty leasing activities, including scheduling, logistics, and documentation.
- Assist with tenant communications and the preparation or distribution of property marketing materials as needed.
- Respond promptly and professionally to tenant inquiries and service requests, ensuring a high standard of customer service.
- Maintain organized filing and documentation systems, both physical and digital, to support efficient property administration.
- Provide backup coverage for property operations, stepping in as needed to ensure continuity of service and adherence to deadlines.
- Support active legal matters by preparing documentation, tracking deadlines, and following up as directed by leadership or legal partners.
Essential Skills
- At least 2 years of experience in property management, commercial real estate administration, or a closely related field.
- Strong organizational skills with the ability to manage multiple priorities in a fast-paced, high-activity environment.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook, to support daily administrative and financial tasks.
- Excellent written and verbal communication skills to interact effectively with tenants, vendors, contractors, and internal stakeholders.
- High attention to detail, particularly in compliance tracking, financial processes, documentation, and record keeping.
- Ability to work independently with minimal supervision while maintaining accountability and meeting deadlines.
- Experience working with commercial properties or commercial real estate operations.
Additional Skills & Qualifications
- Experience with property management software systems, including Yardi and specifically Yardi Voyager, is highly desirable.
- Familiarity with commercial lease administration and tenant coordination, including understanding lease terms and obligations.
- Experience supporting construction or capital improvement projects, particularly within an occupied commercial property environment.
- Experience with CAM reconciliation, tenant billing, or Accounts Receivable processes in a property management context.
- Comfort working in a high-activity environment with ongoing construction, site improvements, and time-sensitive financial obligations.
- Ability to build professional relationships with tenants and vendors while maintaining a calm and composed demeanor.
Work Environment This is a contract-only role expected to last approximately two months, with the possibility of extension to about three months and potential for conversion to a longer-term opportunity depending on business needs. The position follows a Monday through Friday schedule from 8:30 a.m. to 5:00 p.m. and offers onsite employee parking for convenient access. The hiring process typically includes a virtual interview followed by an onsite interview. You will work alongside the on-site property staff during a period of elevated activity, with four tenant build-outs underway, ongoing site improvements, and multiple time-sensitive financial and compliance obligations in progress. The environment is fast-paced and detail-driven, requiring strong organizational skills and the ability to manage multiple tasks simultaneously. You will use tools such as Microsoft Office Suite and property management software (including Yardi or Yardi Voyager where applicable) to support administrative, financial, and operational functions. The role involves regular interaction with tenants, vendors, contractors, and internal partners, and you will contribute directly to maintaining continuity of service and preventing delays in critical property processes during this transition period.

Pay and Benefits
The pay range for this position is $26.00 - $26.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
