ABOUT THE ROLE
Western Community College is seeking a Front Desk Administrative Assistant to provide reception and administrative support at our Kelowna campus.
The Front Desk Administrative Assistant will be a key point of contact for students, visitors, faculty, and staff. The role supports the day-to-day functioning of the campus through professional front desk service, administrative assistance, record maintenance, and coordination with campus teams.
The successful candidate will be organized, approachable, dependable, and comfortable working in a busy, student-focused environment.
KEY RESPONSIBILITIES
- Provide professional front desk and reception support for students, visitors, faculty, and staff.
- Welcome visitors to the campus and direct them to the appropriate staff member or area.
- Answer, screen, and direct incoming calls; respond to general inquiries; and refer questions to the appropriate department.
- Maintain clear and timely communication and messages between students, staff, faculty, and campus teams.
- Provide general administrative and clerical support, including filing, document preparation, photocopying, scanning, and data entry.
- Maintain accurate and up-to-date electronic and physical records, forms, and documentation.
- Assist with maintaining student information, including attendance, grades, transcripts, and other records as required.
- Provide administrative support to campus staff and faculty with day-to-day requests.
- Monitor office, classroom, and general campus supplies and coordinate ordering and replenishment as required.
- Assist with office equipment and coordinate maintenance or service requests with external suppliers when required.
- Support campus access and general security procedures, including monitoring visitors and maintaining appropriate access to campus facilities.
- Assist with classroom and campus readiness, including supplies, equipment, and shared spaces.
- Provide administrative support for student orientations, campus activities, events, and other College initiatives as required.
- Maintain confidentiality of student, employee, and institutional information.
- Perform other related administrative duties as assigned.

- Availability to work occasional weekends or adjusted hours when required.
EDUCATION & EXPERIENCE
- Business Administration diploma, Office Administration certificate, or related education is an asset.
- 1–3 years of experience in reception, administrative support, customer service, or a related role.
- Previous experience in an educational or post-secondary environment is an asset.

Schedule: 40 hours per week; rotating shifts, including weekdays and weekends, as the campus operates 7 days a week.
