Job Summary
The Workplace Services team at BlackLine is energetically focused on the employee experience and manifesting the BlackLine brand with fresh, vibrant, and inspiring workspaces . The Workplace Manager, Krakow will be given a task of utmost importance: to take care of our team’s well-being and daily workplace operational tasks to ensure the business is operating at the highest levels.
The success of this individual lies in the ability to develop strong professional relationships with the Krakow team, collaborate with the global Workplace Services organisation, and focus on exceptional employee experiences.
Roles and Responsibility
- Support the team in achieving the global workplace policies, goals, and initiatives, and be an engaged, active participant in the Global Workplace Services team. Implement the strategy and direction of BlackLine Krakow operations as set by the local functional leaders.
- Provide best-in-class client service that is timely, accurate and seamless; demonstrate sound judgement and quick problem-solving in a challenging environment where two days are rarely the same.
- Evaluate, identify, and implement innovative ways to enhance service delivery to maximise and foster a rich culture of connection, collaboration, productivity, and fun in the workplace.
- Cultivate a genuine and personal connection with BlackLine leadership, employees, and clients, and create a customised experience so they can work seamlessly, productively, and efficiently.
- Create a positive, first-impression experience by managing the reception of employees, guests, and visitors to the Krakow workplace. Function as a virtual directory for all employees and guests through possessing full knowledge of conference rooms, departmental locations, leadership, BlackLine policies, building policies, and other pertinent operational information.
- Ensure the health and safety of employees and guests through managing a team and vendors to maintain a clean, clutter-free workplace environment, first aid supplies, and required safety protocols. Confirm compliance with required health, safety, and fire Polish legislation.
- Manage vendor performance for cleaning services, procurement of office supplies and equipment, daily post collection and distribution, shipping and receiving operations, and maintenance of office furniture and equipment. Commit to the local maintenance and upkeep of the location and arrive before the start of the business day to conduct site walks, ensuring the highest level of appearance and operations of the workplace.
- Manage the overall implementation and program of the food and snack/beverage programs for the workplace; develop a catering program with high-quality options and offerings.
- Manage the BlackLine relationship with the building landlord and function as local liaison to BlackLine; address and resolve facilities issues and other building concerns. Establish relationships with local vendors, following established procurement processes. Identify and implement efficiencies and value-add opportunities across the local workplace operation.
- Partner with functional managers and the People team; consult with Finance, IT, and other departments to ensure 100% data integrity and compliance. Adhere to all BlackLine policies and procedures, including procurement, finance, and accounting processes.
- Own all things social; we love getting together! Manage and organise social activities and company local meetings (virtual and in person); manage BlackLine Krakow employee events and celebrations.
Working Conditions
- This is an on-site position requiring full-time attendance in the workplace.
- Minimal business travel is anticipated.
- Total Base Pay Range : 120 000,00 - 150 000,00 PLN annual
What You'll Bring:
Required Qualifications
- 5+ years of Workplace experience, office operations, hospitality, or a similar environment.
- Experience in a multinational organisation preferred.
- Event planning and hospitality experience is a strong advantage.
- Experience coordinating workplace technology and IT service delivery.
- Proven experience managing office relocation projects, including space planning, vendor management, and workplace setup.
Technical/Specialised Knowledge, Skills, and Abilities:
- A personable and professional demeanour
- Experienced user of MS Office, Teams & SharePoint
- Excellent command of written and spoken English and Polish
- Strong initiative and the ability to work independently.
- High level of resourcefulness, confidence, and critical thinking skills
- Organised and meticulous, with proven ability to manage multiple tasks on time
