Plant Support Administrator

The Plant Support Administrator is responsible for providing administrative, organizational and coordination support to the plant management team and assigned functional areas. The role ensures the efficient execution of daily administrative activities, supports internal processes and contributes to the smooth operation of the manufacturing site.

The job holder independently manages assigned priorities and ensures timely completion of responsibilities. The position is offered on a part-time (50%) basis under a fixed-term employment contract and requires a high level of accuracy, confidentiality, and service orientation.

The role provides administrative support to managers based in Pisticci, which includes travel coordination and expense reporting

Key responsibilities:

- Provide administrative and organizational support to plant management and functional departments.
- Perform administrative and organizational duties independently and within established timelines.
- Support purchasing activities, including procurement of office materials and services in accordance with company procedures.
- Review and verify invoices and support documentation related to office purchased materials and services.
- Manage document control systems, records, filing structures, correspondence and other business documentation in accordance with company standards.
- Organize and coordinate meetings, conferences, workshops, training sessions and site events, including activities involving international stakeholders.
- Provide comprehensive support and assistance to internal stakeholders, customers, suppliers, contractors and visitors.
- Assist with travel arrangements, travel expense reports, and verification of related documentation for managers.
- Maintain the confidentiality of sensitive business information and documentation.
- Coordination of people activities and related activities for the location.
- Actively supporting activities of our voluntary program and organization of group events.
- Maintain databases and documentation systems, managing and editing the Company tool Documentum.
- Organize and coordinate training sessions, record paper training registration forms and manage training log in the Company Learning tool

Qualification :

- Completed vocational training, associate degree, or equivalent qualification in Office Management, Accounting, a technical discipline or a related field
- 1-3 years of relevant professional experience in administration, office support or plant support.
- Experience in a manufacturing or industrial environment is considered an advantage
- Good written and verbal communication skills in Italian and in English
- Advanced knowledge of document management and records administration.
- Ability to prepare and analyze reports, spreadsheets, statistics and performance indicators.

- Proficiency in Microsoft Excel, Word, PowerPoint, Outlook, and Teams.
- Basic knowledge of SAP/ERP systems is preferred
