JOB MISSION

Working within the Marketing & Communication Department, the Events Project Manager is responsible for defining, coordinating, and flawlessly executing the Market’s event strategy across multiple countries. This role drives innovative events and ensures exceptional client experiences aligned with the Maison standards. Working closely with the Event Coordinator, the Events Project Manager will oversee a diverse portfolio of commercial, client engagement, PR  and image-driven events, collaborating closely with global , regional, and local teams, as well as external agencies and partners, to deliver memorable and measurable outcomes.

KEY RESPONSIBILITIES

Event Strategy, Design & Planning:

•            Partner with regional and  global teams to roll out local activation strategies and planning that support brand and commercial objectives.

•            Lead the ideation and conceptualization of creative event ideas, ensuring alignment with  regional and global guidelines and market specificities.

•            Develop and manage the local event calendar, ensuring timely completion and coordination across countries

Project Management & Execution:

•            Manage the end-to-end retro-planning process for events, from initial ideation through to post-event activities.

•            Oversee all logistical aspects, including venue sourcing (for non-boutique events), supplier selection, and production management.

•            Source and manage local suppliers for all event components (production, catering, entertainment, invitations, etc.), leading call to tenders and selection processes.

•            Brief and review proposals from local suppliers, negotiating contracts, scopes of work, and costs with external vendors.

•            Coordinate and brief Boutiques for in-boutique events, ensuring seamless integration and execution.

•            Provide on-site leadership and support for event execution, from setup to teardown, ensuring a consistent luxury client experience.

•            Onboard, brief, and follow up with internal stakeholders for event-specific requirements (merchandising, security, client..)

•            Contribute to event amplification strategies with transversal teams, including PR and marketing

•            Oversee agency briefs for event agencies and content creation partners (photographers, videographers).

Budget Management & Administration:

•            Monitor and manage the overall events budget across assigned markets, ensuring adherence to financial guidelines.

•            Lead call to tender and suppliers' selection processes.

•            Review and negotiate contracts, scopes of work, and costs with external vendors.

•            Process vendor creation/extensions in SAP with local finance teams

•            Prepare, review, and process Purchase Orders and quotes with local finance.

•            Review, sign, and process final invoices with local finance.

•            Work closely with PR & Event Manager on  follow up of Athena completion during budget cycles

Performance Analysis & Reporting:

•            Define and track Event KPIs and performance metrics to measure effectiveness and ROI.

•            Prepare comprehensive post-event reports ("Retex") for Executive Committee presentations, boutique meetings, regional, and HQ stakeholders.

•            Conduct agencies assessment based on performance and deliverables.

•            Manage event storage locations and assets.

•            Provide recommendations for continuous improvement and future event planning based on performance analysis.

QUALIFICATIONS

•            Bachelor's degree in Marketing, Communications, Hospitality, Event Management, or a related field.

•            Minimum of 5-7 years of progressive experience in event management, project management or client experience, preferably within luxury retail, fashion, hospitality

•            Proven experience in designing and implementing high-profile  events and multi-stakeholder projects.

•            Exceptional project management and organizational skills, with the ability to manage multiple complex projects simultaneously and maintain meticulous attention to detail.

•            Strong strategic thinking and creative problem-solving abilities, particularly in event design and conceptualization.

•            Excellent communication, presentation, negotiation, and interpersonal skills, capable of influencing and collaborating across diverse teams and cultures.

•            Bbudget management and analytical capabilities.

•            Demonstrated experience in coordinating VIP guest experiences and hospitality programs.

•            Proficiency with Microsoft Office Suite; knowledge of event management, CRM tools, is a significant advantage.

•            Deep understanding of luxury maison standards, client expectations, and market trends.

•            Fluency in English  is required; proficiency in other relevant market languages is a strong asset (Dutch, French, Swedish, Danish)
