Summary of Responsibilities:
The Executive Office & Advancement Student Associate provides day-to-day support to the Executive Office and Office of Institutional Advancement through hospitality, administrative assistance, logistical support, and other assigned responsibilities. Reporting to the Director of Advancement & Strategic Initiatives, this role works primarily within the Executive Office and helps ensure guests, meetings, events, and daily priorities are supported with professionalism and excellence. The position requires flexibility, initiative, discretion, and a willingness to serve wherever needed.
Specific Duties and Responsibilities:
Executive Office Support
- Provide day-to-day administrative and logistical support for the Executive Office.
- Assist with meeting preparation, materials, hospitality, room setup, and other executive needs.
- Help maintain organized, professional, and guest-ready Executive Office spaces.
- Support special projects and assignments as directed by members of the Executive Office.
- Handle confidential institutional and leadership information with discretion.
- Anticipate upcoming needs and communicate or take appropriate action proactively.
Hosting & Hospitality
- Welcome and host guests of Highlands College with professionalism, warmth, and attention to detail.
- Support visits involving donors, ministry leaders, business leaders, speakers, partners, and other guests of the College.
- Assist with guest arrival, parking, campus navigation, meeting logistics, tours, and hospitality.
- Prepare meeting rooms and hospitality spaces before guest visits and reset spaces following meetings.
- Coordinate with Events & Hospitality and other departments as needed to support an excellent guest experience.
- Represent Highlands College professionally in all interactions with internal and external guests.
Advancement Support
- Assist the Office of Institutional Advancement with donor and partner hospitality, meetings, events, and special projects.
- Support the preparation of donor gifts, correspondence, mailings, meeting materials, and other advancement resources.
- Assist with Community Partner activities, donor visits, and other advancement initiatives as assigned.
- Help organize and maintain Advancement supplies, materials, gifts, and hospitality resources.
- Provide administrative and logistical assistance to support advancement priorities as needed.
Runner & Logistical Support
- Complete on-campus and local errands, pickups, and deliveries for the Executive Office and Office of Institutional Advancement.
- Transport materials, supplies, gifts, and other items between campuses or locations as needed.
- Assist with setup and breakdown for meetings, events, donor visits, and other College activities.
- Respond to time-sensitive or unexpected logistical needs with appropriate urgency.
- Maintain flexibility to support emerging priorities and special assignments as directed.
Other Duties:
- Participate in ministry at Church of the Highlands and Highlands College by leading small groups.
- Affirm and uphold the Statement of Faith and the Core Values and DNA of the College, exemplifying all by word and lifestyle.

Knowledge:

Education:
- Current Highlands College student in good standing.
Experience:
- Previous experience in hospitality, administrative support, events, customer service, or a related area preferred but not required.
Extent of Public Contact:
- High: Regular interaction with donors, partners, ministry and business leaders, College leadership, teammates, students, event attendees, and other guests of Highlands College.
Physical Demands:
- Moderate exposure to physical risk.
- Good physical condition is required.
- Ability to drive between campuses and to local destinations.
- Ability to lift 50 lbs without assistance.
- Ability to stand for long periods of time.
Direct Reports:
- This position is not a team lead for any Highlands College teammates.
