About this role

The Senior Living Consultant is responsible for independently planning and carrying out census development, marketing, community outreach, and referral development activities to support occupancy growth and increase community awareness of Royale Oaks Assisted Living and House of Hope Assisted Living & Memory Care. The position develops and maintains relationships with prospective residents and families, healthcare professionals, referral sources, community organizations, and other individuals who may benefit from or recommend our assisted living and memory care services.

The Senior Living Consultant serves as a knowledgeable and welcoming point of contact for individuals exploring senior living options and helps guide prospective residents and families from initial inquiry through the decision-making and admission process.

The position independently manages census development and outreach activities, builds referral relationships, follows prospective residents through the decision-making process, and supports the Resident Services Director (RSD) and Administrator in admissions and occupancy growth.

Success in this position is measured primarily through growth in qualified leads, referral relationships, community awareness, tours, admissions, and achievement of established occupancy goals.

1. Census Development, Sales & Lead Management

- Independently develop, recommend, and implement ongoing census-development strategies designed to increase assisted living and memory care occupancy and achieve established organizational goals.

- Collaborate with the Florence Home Community Liaison and community leadership to identify and prioritize our organization through professional referral opportunities and placement strategies.

- Respond promptly and professionally to inquiries from prospective residents, families, referral sources, and community partners.

- Develop relationships with prospective residents and families and maintain regular follow-up throughout their decision-making process.

- Evaluate and maintain an effective system for tracking inquiries, referrals, tours, follow-up activities, admissions, and outcomes; assess available lead-management tools and recommend improvements to leadership. Explore the Matrix Care marketing module as a potential tracking system prior to 360 conversion.

- Independently identify and evaluate barriers affecting prospective residents’ decisions and determine appropriate follow-up strategies; recommend operational, marketing, or service-related responses to the Administrator and appropriate team members when broader action is needed.

- In collaboration with RSD, conduct tours for prospective residents, families, healthcare professionals, and referral sources, effectively communicating the benefits and unique qualities of each community.

- Maintain current knowledge of community services, amenities, pricing, availability, admission criteria, payer sources, and other information necessary to accurately communicate with prospective residents and families.

- Analyze competing senior living communities, local market conditions, and referral patterns to guide outreach priorities and recommendations to leadership.

- Analyze and report on leads, tours, referral activity, admissions, lost opportunities, conversion rates, and progress toward census goals; identify trends and recommend adjustments to census-development strategies

- 2. Community Outreach, Networking & Referral Development

- Develop and maintain strong relationships with hospitals, physician offices, clinics, rehabilitation providers, home health and hospice agencies, senior centers, independent living communities, skilled nursing facilities, social workers, case managers, discharge planners, senior service organizations, churches, community organizations, and other potential referral sources.

- Independently plan and conduct regular in-person outreach to existing and prospective referral sources, determining the frequency, priorities, and approach based on census needs, referral potential, and market conditions.

- Evaluate and prioritize new referral opportunities and independently develop relationships that increase awareness of Royale Oaks and House of Hope.

- Represent the communities at networking groups, community events, health fairs, educational programs, senior events, professional meetings, and other appropriate activities.

- Develop and coordinate opportunities to bring referral sources and community members into the communities through tours, educational programs, networking events, open houses, support groups, and other events, exercising judgment regarding which opportunities best support census and organizational objectives.

- Evaluate, develop, and recommend presentations, partnerships, sponsorships, and community initiatives that increase visibility, strengthen the organization's reputation, and support census growth.

- Serve as a positive representative of the organization and promote a consistent and professional image throughout the community.

- Monitor community needs and prospective resident trends to identify new census-development and outreach opportunities.

3. Admission Support

- Coordinate with the RSD, Administrator, and designated team members regarding the pre-admission and admission process and independently manage assigned non-clinical steps necessary to advance qualified prospects through the process.

- Gather preliminary information from prospective residents, families, and referral sources to assist the clinical team in determining whether the individual's needs may be appropriately met within the community.

- Coordinate receipt of necessary records and information for clinical review when appropriate.

- Independently coordinate tours, assessments, follow-up visits, record requests, and other non-clinical steps necessary to move prospective residents efficiently through the admission process, determining appropriate timing and follow-up based on individual circumstances.

- Explain community services, amenities, general admission processes, pricing, and available payer options within the scope of the position.

- Maintain communication with prospective residents and families throughout the admission process, independently determining appropriate follow-up and coordinating with the RSD, Administrator, nursing, or other departments when issues require clinical or administrative decision-making.

- Serve as a liaison between prospective residents/families, referral sources, RSD, the Administrator, nursing, and other departments involved in admission.

- Help ensure new residents and families receive a welcoming and organized transition into the community.

- Follow up with new residents and/or representatives following admission to help identify questions or concerns and support a positive transition.

- Maintain confidentiality of all prospective resident and resident information in accordance with HIPAA and organizational policies.

4. Professionalism & Organizational Responsibilities

- Maintain a working knowledge of Nebraska Assisted Living regulations applicable to the position.

- Protect resident rights and maintain confidentiality of resident and prospective resident information.

- Maintain professional and cooperative relationships with all departments.

- Communicate accurate information and avoid making commitments regarding services, pricing, payer coverage, or resident acceptance outside the authority of the position.

- Develop and recommend marketing strategies and independently coordinate marketing initiatives, advertisements, flyers, website content, articles, social media content, and other outreach materials within established organizational standards and approved budget parameters.

- Attend meetings, educational programs, and required training.

- Complete assignments and required documentation in a timely manner.

- Work independently with general direction from the Administrator, manage daily and weekly priorities, and communicate significant trends, opportunities, barriers, and recommendations.

- Maintain reliable transportation and travel throughout the Omaha/Council Bluffs metropolitan area and surrounding communities as necessary.

- Maintain flexibility to participate in occasional evening and weekend tours, networking activities, community events, or admission-related activities.

- Perform other duties as assigned.

QUALIFICATIONS:

- Bachelor's degree in Marketing, Business Administration, Communications, Human Services, Healthcare Administration, Nursing, or a related field preferred. Relevant senior living sales, marketing, admissions, or healthcare experience may be considered in lieu of a degree.

- Two or more years of experience in senior living, healthcare marketing, sales, admissions, community outreach, business development, or a related position preferred.

- Experience with assisted living, memory care, skilled nursing, home health, hospice, or other senior healthcare services strongly preferred.

- Valid driver's license in good standing and reliable transportation required.

- Ability to understand and communicate senior living services, admission processes, payer sources, and general healthcare continuum information.

- Ability to maintain accurate lead, referral, and admissions tracking information.

- Proficient computer skills and ability to use electronic lead-management, communication, and documentation systems.

- Ability to work cooperatively with administrators, nursing, resident services, and other departments.

- Knowledge of the Omaha/Council Bluffs senior healthcare and community service network preferred.

- Ability to analyze census-development results and recommend actions that support occupancy and community visibility.

- Ability to read, write, and speak English.

INDEPENDENT JUDGMENT & DECISION-MAKING: This position performs non-manual work directly related to the organization’s census development, marketing, referral development, community relations, and business operations.

The Senior Living Consultant regularly exercises discretion and independent judgment on matters of significance within the scope of the position, including evaluating market and referral opportunities, establishing outreach priorities, determining prospect and referral-source follow-up strategies, analyzing census and conversion results, and recommending changes to marketing and census-development strategies.

The position operates under general direction rather than detailed day-to-day instruction and has the authority to independently plan and carry out assigned census development and community outreach activities within established organizational policies, ethical standards, and approved budget parameters.

The Consultant’s recommendations and decisions may affect occupancy, referral relationships, community visibility, marketing priorities, and the allocation of time and resources devoted to census-development activities. Matters requiring clinical judgment, final resident acceptance, changes to established pricing, contractual commitments, or expenditures outside delegated authority remain subject to approval by appropriately authorized personnel.

WORK SCHEDULE:

Regular scheduled attendance is required. Hours are generally Monday through Friday during normal business hours; however, the position requires flexibility to accommodate prospective residents and families and may include occasional evenings and weekends for tours, admissions, networking events, and community activities.
