Job Title: Service & Logistics Coordinator Job Description
The Service & Logistics Coordinator oversees customer equipment as it moves through the service and repair lifecycle in a manufacturing and contract engineering environment. This newly created role exists due to organizational growth and restructuring and serves as the primary point of contact for both customers and internal teams. The coordinator ensures that each piece of equipment is properly received, documented, evaluated, repaired, and shipped back to the customer, while maintaining accurate records and clear communication. The position includes comprehensive training and reports directly to senior leadership, but requires a proactive, driven individual who is comfortable working independently once up to speed.
Responsibilities
- Serve as the primary coordinator for customer equipment entering the service and repair process, ensuring smooth intake and routing.
- Review incoming equipment and supporting documentation and initiate Return Material Authorizations (RMAs) as needed.
- Maintain accurate documentation and track equipment throughout the entire repair lifecycle from intake through return shipment.
- Coordinate with internal Testing, Engineering, Assembly, and other manufacturing teams to ensure equipment is evaluated and routed appropriately.
- Monitor the status of equipment and proactively follow up with internal teams to keep repairs moving forward and avoid delays.
- Act as a key point of contact for customers regarding service-related questions, repair status, timelines, and other updates.
- Coordinate with Engineering when additional technical evaluation or support is required for equipment repairs.
- Ensure service documentation, RMA records, customer information, and order information remain accurate, complete, and up to date.
- Assist with service quotations and related order administration, including preparing and updating service-related documentation.
- Coordinate outbound shipping once repairs are completed, working with shipping personnel and carriers to ensure equipment is returned accurately and on time.
- Track multiple pieces of equipment at different stages of the service process while ensuring that no items are overlooked.
- Communicate effectively across departments to resolve issues, obtain updates, and keep the service process moving efficiently.
- Support additional logistics activities such as inventory management, cycle counting, and other operational tasks as needed.
- Take ownership of the service process from start to finish, ensuring that each service request is completed thoroughly and on schedule.
Essential Skills
- Previous experience working within a manufacturing environment.
- 2+ years of experience in service coordination, customer service, order management, logistics, manufacturing operations, RMAs, or a related function preferred.
- Experience coordinating RMAs, repairs, customer returns, or service orders.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Excellent attention to detail and strong documentation skills.
- Strong interpersonal and customer service skills, with the ability to build effective working relationships.
- Comfortable communicating and coordinating with technical teams such as Engineering, Testing, Assembly, and Manufacturing.
- Ability to take initiative and independently follow issues through to resolution without requiring constant direction.
- Experience working with an ERP, order management, or manufacturing system preferred.
- Ability to quickly learn new processes, systems, and workflows in a manufacturing environment.

Work Environment
This role is based on-site five days per week in Newburyport, MA within a manufacturing and contract engineering setting. The coordinator works closely with Engineering, Testing, Assembly, and other production teams, as well as shipping personnel and carriers. The environment is fast-paced and process-driven, with a strong focus on cross-functional collaboration, accurate documentation, and timely movement of equipment through the service and repair lifecycle. The position operates under a hands-off management style that trusts individuals to take ownership, stay organized, and manage multiple service requests independently, while remaining engaged and accountable throughout the workday.
Job Type & Location
This is a Contract to Hire position based out of Newburyport, MA.
Pay and Benefits
The pay range for this position is $30.00 - $32.00/hr. Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
