The role
Multiverse Germany's MD Office is looking for a proactive, tech-forward and experienced Executive Business Partner (m/w/d) to support the Managing Director (MD) and Chief of Staff (CoS), to help run a fast-growing Berlin office. Executive and business operations support is the core of this role: your responsibility will lie in managing the diary of the MD and other senior leaders, helping to drive our overall business operations and company rhythm. With competing priorities inevitably arising, this role will require you to use your judgment to prevent unnecessary involvement of the MD in day-to-day situations or proactively involve him or the CoS when urgent. You'll also work closely with the UK team to keep Multiverse Germany aligned with company-wide rhythms.
In addition to that, you’ll have the option to help build a high-performance, high-agency culture (e.g., owning the internal event calendar and other initiatives) in the Berlin office. In doing all of the above, automation with AI runs through all of what you’ll do. Wherever a process is repeatable, you're expected and excited to use AI tools to speed things up.
Key responsibilities:
- Support the MD primarily and provide additional support to other senior leaders , as directed, to ensure that company goals and objectives are accomplished and that operations run efficiently
- Maintain and refine internal processes that support the MD, leadership team and the company
- Manage professional and personal scheduling for the MD , including calendar management, preparing agendas, drafting emails, preparing phone calls or customer meeting briefings
- Manage the MDs and senior executives’ travel logistics and activities , including accommodations, transportation, and meals
- Assist and manage all logistics from end-to-end of small to larger scale events, for example, company All-Hands, leadership offsites or one-off customer events
- Coordinate closely with the UK and build relationships with UK-based Executive Business Partners, Business Operations Managers and teams so Germany stays aligned with company-wide meeting rhythms and conventions
- Automate where you can and use AI tools to cut manual admin across scheduling, reporting and follow-up
Who you are:
- You are comfortable in a constantly evolving environment: you can operate in a highly changing, fast-paced environment and prepare decisions, even when things are ambiguous and you can hold multiple threads at the same time
- You are a strong communicator: you know when to raise a challenge, but even more so, you solve operational challenges them proactively before they reach the CoS or MD
- You've done this before: several years as an EA, business or operations coordinator, or similar, ideally supporting leaders in a fast-paced or scaling environment
- You think like an operator: you don't just execute tasks, you build the process, tracker or system behind them: every challenge is a problem about to be solved
- You default to automation: you look to cut repeatable admin with AI tools rather than doing it by hand
- You're discreet and trusted: you handle sensitive information with sound judgement
- You're native or fluent in German, with strong conversational English: this is needed to coordinate closely with the UK team
