About the role

DC Bilingual seeks an organized, detail-oriented, and collaborative Assessment, Data, Systems & Compliance Coordinator to support the systems and processes that help our school run well. This person will coordinate schoolwide assessments, maintain accurate student information, administer key data platforms, and help teams meet recurring reporting and compliance deadlines.

The coordinator will serve as DCBs in-person Testing Coordinator for WIDA ACCESS and DC CAPE and will become a primary point of contact for QuickSchools, Mosaic, and Orchard . They will also develop working knowledge of related platforms, including MySchoolBucks and assessment systems. The role works closely with the Co-Principals and teams across Operations, Enrollment, Food Services, the Business Office, Hive, Instruction, Student Support, and Family Engagement.

This position starts at the coordinator level. We do not expect a new hire to arrive knowing every DCB system or to take ownership of every process on day one. Onboarding will include a documented training plan and a gradual release of responsibilities. The coordinator will first learn alongside experienced staff and contractors, then complete work with support and review, and take independent ownership of assigned workflows as they demonstrate readiness.

The role offers an opportunity to grow into a manager position over time, based on performance, demonstrated ownership of schoolwide systems, and organizational needs.

Coordinate assessments

- Serve as DCBs in-person Testing Coordinator for WIDA ACCESS and DC CAPE in partnership with school leadership.

- Coordinate testing schedules, student groups, staffing, rooms, accommodations, technology, materials, and make-up testing.

- Complete required training and support the training of Test Administrators, Proctors, and other participating staff.

- Maintain testing records, monitor completion, address day-to-day issues, and follow assessment security and documentation requirements.

- Maintain the schoolwide assessment calendar and support additional assessments, including i-Ready, Amplify, STAMP, DIBELS, and QPA, as assigned.

Manage student information and school systems

- Administer QuickSchools, Mosaic, and Orchard, including user access, records, rosters, reports, recurring workflows, and routine troubleshooting.

- Maintain accurate student information, including enrollment changes, class assignments, attendance, contact information, and other approved data fields.

- Coordinate with Enrollment and Operations staff on data verification, residency and enrollment records, audit preparation, and Count Day.

- Maintain class lists, schoolwide rosters, family contact lists, and other reports used by staff.

- Support Hive registration, rosters, attendance, approved payment-plan information, and related reporting.

- Help staff use assigned systems through clear instructions, training, and responsive support. Coordinate with vendors or specialized contractors when issues require additional expertise.

Support compliance, reporting, and data quality

- Maintain a calendar of recurring assessment, enrollment, data, nutrition-program, and other assigned reporting deadlines.

- Coordinate records and data needed for OSSE and PCSB reporting, enrollment audits, October Count, accreditation, and other assigned processes.

- Check data for accuracy, follow up on discrepancies, and keep documentation organized and accessible to authorized staff.

- Support attendance reporting, report card production, schoolwide dashboards, and leadership data requests in partnership with the responsible teams.

- Support Food Services and Business Office staff with nutrition-program data, documentation, reconciliation, and reimbursement-claim preparation.

- Prepare materials for review and submission by designated program leaders and authorized signers.

Improve workflows and protect information

- Create and maintain useful forms, trackers, dashboards, process calendars, and standard operating procedures.

- Document recurring workflows and help train designated backups.

- Use appropriate access controls and handle student, family, staff, health, assessment, and financial information with care and confidentiality.

- Work with the Director of Operations to prioritize responsibilities during assessment, enrollment, audit, and reporting peaks.

How well support your onboarding

The Director of Operations will guide a training plan that identifies the systems, recurring processes, and key people the coordinator needs to learn. Responsibilities will transfer in stages:

- Learn and observe: Review existing procedures, shadow experienced colleagues and contractors, complete required trainings, and learn how DCBs systems connect.

- Practice with support: Carry out assigned tasks with coaching, written guidance, and review before key submissions or decisions.

- Take ownership: Lead assigned workflows independently as knowledge and readiness grow, with continued access to support for complex issues and new reporting cycles.

Training and the pace of handoff will reflect the school calendar, required deadlines, and the coordinators experience.

Decision-making and accountability

The coordinator is accountable for accurate system administration, data management, process coordination, documentation, and timely follow-through within their assigned scope. Department and program leaders retain responsibility for eligibility determinations, program and financial decisions, scholarship awards, claim certification, regulatory sign-off, and daily operational decisions. DCB will designate authorized signers for processes requiring formal approval.

Qualifications

Required

- Bachelors degree.

- Experience with student information systems, data processes, assessment administration, compliance workflows, or similarly complex operational systems.

- Strong spreadsheet, data-management, and reporting skills.

- Excellent organization and attention to detail, including the ability to manage recurring deadlines and competing priorities.

- Strong communication and problem-solving skills, with the ability to explain processes and support colleagues.

- Ability to work independently, collaborate across teams, and handle confidential information appropriately.

Preferred

- Experience with QuickSchools, Mosaic, Orchard, MySchoolBucks, or comparable school systems.

- Experience with WIDA ACCESS, DC CAPE, OSSE reporting, enrollment audits, October Count, or school nutrition programs.

- Experience creating dashboards, documenting procedures, or improving systems and workflows.

- Experience working in a school or educational setting.

- Bilingual proficiency in Spanish and English.
