The University of Miami, School of Communication has an exciting opportunity for a full time Senior Program Coordinator to work in Coral Gables, FL.

The Senior Program Coordinator for the Office of Graduate Studies provides administrative and operational coordination for graduate programs across the full student lifecycle, from first contact with a prospective applicant through alumni engagement after graduation. The role supports all graduate programs in the School of Communication. Supervises applications and admission functions. Assists in the development and implementation of recruitment processes.

This position will report to the Associate Dean for Graduate Studies (ADGS) and will be responsible for providing support and administrative assistance to the ADGS and to the Senior Program Manager for the Office of Graduate Studies as necessary.

The Sr. Program Coordinator also works closely with program faculty and with university and external partners to keep these programs running smoothly and responsive to students' needs at every stage.

Department Specific Functions:

Program Coordination

- Primarily exercises discretion and independent judgment in daily activities.
- Assists the ADGS with the administration of graduate studies.
- Helps develop and execute recruitment processes and yield strategies to attract potential SoC graduate students and fulfill the University's enrollment targets.
- Reviews the effectiveness of recruitment strategies and recommends program changes and enhancements.
- Assesses and updates existing recruiting materials, including brochures, applications, marketing and advertising content, web pages, and correspondence.
- Manages and improves presence in social networks and web-based communications.
- Reviews and assists the ADGS in recruiting and marketing strategies for all graduate studies programs.
- Manages the application process by collecting and maintaining applicant files electronically, and continually updates the Box system to ensure collaboration and workflow for the Office of Graduate Studies.
- Follows up on incomplete applications, generates decision letters, and updates the database system (Slate and Cane Link)
- Works with the Office of International Admissions to compute GPA equivalents and student visa processing for international applicants.
- Compiles, assesses, interprets student data, recruitment trends, and market area trends, and reports findings to the Associate Dean.
- Helps coordinate student orientation, plans and implements remote and on-location recruitment events, and organizes events for current graduate students.
- Designs materials for specific events.
- Assists in planning, development, and implementation of new programs which improve or promote the mission of the SoC.
- Facilitates collaboration between different schools and/or academic support units throughout the University.
- Completes special assignments on an as-needed basis.
- Assists in preparing budgets, provides advice regarding budget projects, and monitors expense tracking, reconciliation, and journaling.
- Prepares reports that summarize financial and statistical information related to the work unit’s budget, accounts, activities, program clientele, and operations.
- Establishes and implements procedures.
- Performs complex assignments and resolves issues and problems referred by staff or the supervisor.
- May make purchasing decisions.
- Resolves unique situations where each contact must be handled differently using judgment and discretion.
- Performs other duties as assigned by the ADGS and the Graduate Studies Administrative Support
- Maintains calendar, types, and provides routine and general clerical support, which may include student service, reports, and statistics.
- Prepares regular Quality Assurance Reports. Collects and analyzes data on graduate students and programs across the School.
- Serves as the contact person for the Office of Graduate Studies in person, by phone, and through mail and electronic communications with students, faculty, and staff.
- Supports student recruitment by assisting with planning, responding to inquiries by phone, email, US mail, and in person, and sending application materials to prospective students.
- Maintains the alumni network, works with Alumni Relations to organize alumni events and mentoring, and collects outcome data.
- Participates in the School of Communication, Graduate School, and University meetings.
- Updates and maintains student record files for all admitted and enrolled graduate students in the School after admission.
- Processes tuition awards and assistantships as necessary.
- Orders office supplies.
- Composes correspondence or selects standardized formats.
- Prepares financial forms (IDRs, BEFs, POs, work orders, check requisitions, etc.) for the department.
- May provide ancillary support to business services, student services, etc.
- Other duties as assigned by the ADGS and the Graduate Studies Manager

Core Qualifications:

- High school diploma. Bachelor’s Degree preferred.
- Minimum of three years of related experience in higher education program administration, student services, or academic advising.
- Experience managing data and producing reports, and comfort with student information or CRM systems.
- Strong written and verbal communication and the ability to advise students professionally.
- Strong organizational skills and the ability to manage multiple programs, deadlines, and stakeholders.
- Working knowledge of FERPA and a commitment to confidential, ethical handling of student records.
- Proficient with computer hardware and software.
- Ability to enter and verify information with accuracy and a reasonable rate of speed.
- Skill in completing assignments accurately and with attention to detail.
- Adaptable and willing to perform a variety of tasks.
- Skilled in time management and able to handle many concurrent projects.
- Excellent customer service, communication (verbal/written), and interpersonal skills required.
- Ability to display initiative and creative solutions
- Ability to process and handle confidential information with discretion.
- Proficiency in Microsoft Office Suite and ECommunication is required. Experience in marketing and graphic design is preferred.
