Front Office Manager – Lawrenceville, NJ

The Front Office Manager oversees daily front office operations, staff performance, patient service, scheduling, and administrative workflows while ensuring compliance with practice policies and procedures.

Responsibilities:

- Hire, train, supervise, schedule, and manage front office staff, including performance and disciplinary matters.

- Ensure adequate staffing and efficient daily patient flow.

- Oversee opening/closing procedures and daily office preparation.

- Address patient questions, concerns, and complaints.

- Ensure accurate patient registration and completion of required documentation through Phreesia.

- Monitor accurate and timely scanning of medical records and documents into patient charts.

- Collaborate with leadership to implement front office protocols and improve workflows.

- Manage office supply inventory and submit medical supply requests.

- Process payroll for assigned staff/offices.

- Perform and oversee EMR functions, including scheduling, registration, copayment collection, and data entry.

- Maintain HIPAA compliance, patient confidentiality, and accurate documentation.

- Assist clinical and administrative leadership with additional operational needs as assigned.

- Assist the Clinical Lead, Director of Front Office Operations, Executive Director, and other leadership with additional responsibilities as assigned.

Qualifications

- Minimum 2 years of management or supervisory experience , preferably in a medical practice or healthcare setting.

- Experience and working
knowledge of Motor Vehicle Accident (MVA) insurance and related workflows is
required .

- Minimum 2 years of experience using an Electronic Medical Record (EMR) system.

- Experience with patient scheduling, registration, insurance verification, copayment collection, and medical front office workflows.

- Experience training, supervising, scheduling, and providing performance feedback to staff.

- Knowledge of HIPAA, patient confidentiality, and proper handling of PHI.

- Strong leadership, organizational, time management , problem-solving, and conflict-resolution skills.

- Ability to manage multiple priorities effectively in a fast-paced healthcare environment.

- Excellent written and verbal communication skills and the ability to interact professionally with patients, providers, staff, and leadership.

- Strong attention to detail and ability to maintain
accurate documentation.

- Proficiency with Microsoft Office/Microsoft 365 and general computer applications.

- Payroll/timekeeping experience preferred.

- High school diploma or equivalent required; associate or bachelor's degree in healthcare administration, business administration, or related field preferred.
