About this role
Key Responsibilities:
- Serve as the first point of contact by greeting visitors and answering incoming phone calls.
- Manage calendars, schedule appointments, coordinate meetings, and reserve conference rooms.
- Sort and distribute incoming mail, packages, and correspondence.
- Perform accurate data entry and maintain both electronic and physical filing systems.
- Prepare, proofread, copy, and distribute routine documents and communications.
- Order and maintain office and breakroom supplies.
- Assist with basic bookkeeping tasks, expense reports, and invoicing.
- Keep reception and common areas organized and professional.
- Provide administrative support for special projects as assigned.
Qualifications:
- High school diploma or equivalent.
- 1–3 years of administrative or office support experience.
- Strong verbal and written communication skills.
- Proficiency with Microsoft Office (Word, Excel, Outlook) or Google Workspace.
- Excellent organizational and time management skills with strong attention to detail.
- Ability to prioritize multiple tasks and work independently.
- Spanish bilingual skills are a plus, but not required.
