Position Salary Range:

$51,500 - $53,000 annually

The Buseck Center for Meteorite Studies (BCMS), a ~ 5 member research unit in the School of Earth and Space Exploration (SESE) in The College of Arts and Sciences at Arizona State University, is seeking a Business Operations Specialist (BOS). The BOS provides administrative support to advance the BCMS core mission of world-class research in meteorites to understand solar system and habitable world processes. The BOS assists with planning, organizing and coordinating BCMS business operations functions in accordance with established goals, priorities, time limitations, funding limitations or other specifications. These functions include basic budgeting, accounting, payroll, record keeping, event coordination, office management and other functions designated by the Director.

Essential Duties:

- Monitors a variety of account expenditures, maintains and reconciles detailed budgets for various accounts, advises and/or determines which expenditures are within the budget guidelines; informs BCMS Director and SESE Business Office of irregularities and proceeds with corrective action.
- Processes travel reimbursements, purchase of supplies, services, and equipment with use of P Card and other purchasing documents in accordance with established procurement and financial policies.
- Organizes and/or prepares Center administrative and financial reports; analyzes, summarizes and interprets information; recommends action to be taken.
- Performs payroll and P Card reconciliations and responds to audit requests and gathers documentation for payroll, pcards, and financial records.
- Prepares budget proposals and recommendations; controls expenditures in accordance with budget allocations;
- Facilitates events, workshops, meetings or conferences; coordinates logistics, scheduling and participant communications;
- Performs all activities associated with Department Time Administrator to ensure accurate and timely recording of exception and positive time for human resource staff members.
- Assists with coordination and processing of student researcher hiring and visiting investigators.
- Prioritizes and arranges meetings, conferences and appointments for BCMS Director; makes necessary travel reservations and itineraries.
- Interacts and maintains liaison with students, faculty, staff and outside/community agencies in facilitating BCMS objectives.

Desired Qualifications:

- Experience in business operations and financial services within a higher education environment.
- Experience exercising judgment, making decisions, setting priorities, interpreting policies and procedures, working independently and communicating effectively.
- Experience in effective verbal and written communication skills. Ability to coordinate activities and establish priorities.
- Experience in being organized and detail-oriented, including the ability to prioritize and manage multiple tasks.
- Demonstrated knowledge of accounting, human resources, forecasting and budgeting practices and principles.
- Demonstrated knowledge of procedures, methods and forms associated with automated accounting systems.
- Experience in preparing detailed financial information for a variety of constituencies and using financial reporting systems.
- Demonstrated knowledge of financial controls, purchasing best practices, and other ASU policies and procedures.
- Demonstrated knowledge of PC based software for spreadsheet (Excel), word processing (Word), and Outlook
- Experience in use of automated/computer and university systems: Workday, Concur, and AdobeSign

Working Environment:

- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
- Regular use of standard office equipment including but not limited to computer workstation / laptop (keyboard, monitor, mouse), printer, copier, and telephone.
