OVERVIEW

The Event Sales Administrator plays a critical role in supporting the Tysons event sales team by managing administrative tasks and ensuring operational accuracy. By streamlining processes and reducing administrative workload, this role enables Sales Managers and Coordinators to focus on outbound sales, client conversion, and high-impact revenue-generating activities.

A successful candidate will be a strong developer of relationships and people, enforcer of high standards and driver of event sales. The Level99 Event Sales Administrator has honesty and personal integrity that is above reproach, choosing humility over the need to “be right,” and in all things acts as though he/she/they are the Owner and Operator of the Level99 events business.

RESPONSIBILITIES

- Detail definite events (timelines, signage, internal notes)

- Build custom floor plans and manage guest layouts

- Build and update events in StaffApp

- Create, print, and organize all weekly event signage

- Generate and manage event leaderboards

- Track and maintain SmartWaiver submissions

- Set up and maintain events in StaffApp

- Coordinate internal handoffs with operations (Event AOR Manager)

- Maintain BEO accuracy and follow-up

- Attend and contribute to weekly BEO (Banquet Event Order) meetings

- Reconcile event execution in TS with Toast receipts and close out files accordingly

- Assist in training Event Captains

- Other duties, as assigned

MUST-HAVE SKILLS

- Ability to work well under pressure in a fast paced, ever changing work environment

- Excellent verbal and written communication skills

- Highly organized with strong attention to detail

- High integrity and professionalism

- High School education or equivalent

- Understands, utilizes and embraces new technology and its implementation into our operation, with specific knowledge in, but not limited to, Microsoft Office

- A positive, joyful, upbeat and energetic attitude – leading by example

- Ability to work a flexible schedule based on business needs which will include days, nights, weekends and holidays as well as emergency responsiveness as required

- Able to work ten hour-plus shifts, plus ability to stand, sit, squat or walk for extended periods of time, walk up and down stairs, and read

OTHER DESIRABLE (BUT NOT NECESSARY) SKILLS & EXPERIENCE INCLUDE

- Bachelor’s degree in Hospitality, Business Administration, or related field

- 1–2 years of experience in administrative, events, or hospitality roles

- Strong organizational and time management skills with keen attention to detail

- Proficiency with event management or POS platforms (Tripleseat, Toast, StaffApp experience a plus)

While we don’t expect a candidate to have deep experience in all of the above, we’re looking for someone with the passion and capability to learn quickly in the areas that are new!
