Position Summary

The Maintenance Supervisor is responsible for the day-to-day operation, supervision, and coordination of the resort's Engineering and Maintenance Department. This position ensures that all guest rooms, villas, public areas, buildings, mechanical systems, equipment, grounds, and resort facilities are maintained in a safe, reliable, clean, and guest-ready condition.

The Maintenance Supervisor leads the daily maintenance operation while ensuring preventive maintenance programs, work orders, inspections, repairs, and projects are completed accurately and on schedule.

This position requires a strong working knowledge of hotel maintenance operations, HVAC, plumbing, electrical systems, building systems, preventive maintenance, life-safety systems, pools and recreational facilities, and general grounds and facility maintenance.

The Maintenance Supervisor is expected to be a hands-on leader who can troubleshoot problems, prioritize work, direct team members, coordinate vendors, and respond quickly to operational and guest needs.

Essential Responsibilities

Department Leadership

- Supervise and direct daily activities of the Maintenance/Engineering team.

- Assign daily work orders and establish priorities based on guest impact, safety, operational needs, and preventive maintenance requirements.

- Conduct daily maintenance meetings and review outstanding work orders, preventive maintenance, room status, projects, and urgent repairs.

- Ensure team members are properly trained in maintenance procedures, safety requirements, equipment operation, and resort standards.

- Monitor employee productivity, attendance, performance, and adherence to departmental procedures.

- Inspect completed work to ensure quality and proper completion.

- Maintain clear communication with Front Office, Housekeeping, Food & Beverage, Events, Security, Recreation, and other departments.

- Participate in hiring, onboarding, training, coaching, and performance management of maintenance employees.

- Ensure adequate maintenance coverage based on occupancy, events, seasonal demands, and resort operations.

Guest Rooms and Villas

- Ensure guest rooms and villas receive timely maintenance attention and are returned to service in a clean, safe, and fully operational condition.

- Respond promptly to guest-room maintenance requests and emergency calls.

- Coordinate with Housekeeping and Front Office regarding rooms that require maintenance before being returned to inventory.

- Inspect rooms placed out of order and coordinate repairs necessary for return to service.

- Track recurring room maintenance issues and recommend permanent corrective action.

- Ensure preventative maintenance inspections are completed on guest rooms, villas, and associated equipment.

HVAC and Mechanical Systems

- Monitor and maintain HVAC systems serving guest rooms, villas, public areas, offices, kitchens, meeting spaces, and other resort facilities.

- Troubleshoot heating, cooling, ventilation, refrigeration, pumps, motors, controls, and related mechanical systems.

- Coordinate HVAC repairs and larger projects with qualified contractors when necessary.

- Maintain accurate records of HVAC repairs, refrigerant-related work, equipment condition, and recurring failures.

- Identify equipment requiring repair, replacement, or capital improvement and provide recommendations to management.

- Monitor critical mechanical equipment and establish contingency plans for major system failures.

Plumbing and Electrical

- Troubleshoot and coordinate repairs involving plumbing fixtures, water systems, pumps, drains, valves, hot-water systems, and related equipment.

- Perform or coordinate basic electrical repairs within applicable licensing and safety requirements.

- Monitor electrical panels, lighting, outlets, switches, breakers, emergency power systems, and related equipment.

- Escalate electrical issues requiring licensed contractors or specialized expertise.

- Identify recurring plumbing and electrical problems and recommend corrective solutions.

Preventive Maintenance

- Maintain and execute a comprehensive preventive maintenance program for the entire resort.

- Ensure scheduled inspections and preventive maintenance are completed and properly documented.

- Track completion of preventive maintenance and identify overdue work.

- Develop maintenance schedules for guest rooms, villas, public areas, mechanical equipment, grounds equipment, and resort facilities.

- Use maintenance history to identify recurring failures and opportunities to reduce operating costs.

- Ensure preventive maintenance is performed before equipment failure whenever practical.

Resort Facilities and Grounds

- Oversee maintenance needs throughout the resort's 125-acre property , including buildings, roads, walkways, parking areas, landscaping-related infrastructure, exterior lighting, drainage, decks, ramps, fencing, signage, and other exterior facilities.

- Coordinate maintenance of recreational areas, pool facilities, meeting spaces, event areas, and other resort amenities.

- Inspect the property regularly for safety hazards, deferred maintenance, damaged equipment, and guest-impacting conditions.

- Coordinate seasonal maintenance requirements, including weather-related preparation and storm response.

- Ensure equipment, tools, vehicles, and maintenance areas are properly maintained and secured.

Life Safety and Compliance

- Support compliance with all applicable fire, life-safety, OSHA, building, environmental, pool, and local regulatory requirements.

- Maintain and inspect fire/life-safety equipment and systems within the department's responsibilities.

- Coordinate required inspections, testing, certifications, and repairs with qualified vendors.

- Maintain documentation for inspections, testing, repairs, and regulatory requirements.

- Immediately report safety hazards or critical system failures to management.

- Participate in emergency response, including power outages, water leaks, HVAC failures, severe weather, fire/life-safety incidents, and other property emergencies.

Work Orders and Documentation

- Ensure all maintenance requests are entered, assigned, prioritized, completed, and properly documented.

- Review open work orders daily and communicate delays or recurring issues to management.

- Maintain accurate records of repairs, equipment condition, parts used, vendor service, and completed projects.

- Monitor rooms and facilities placed out of service due to maintenance issues.

- Identify repeat work orders and develop plans to eliminate recurring problems.

- Ensure maintenance records are organized and readily available for management review.

Inventory, Tools, and Equipment

- Maintain accountability for all department tools, equipment, keys, vehicles, machinery, and other company property.

- Conduct regular tool and equipment inventories.

- Ensure employees properly use, store, and secure company equipment.

- Monitor parts and maintenance supplies and communicate replenishment needs.

- Maintain appropriate inventory levels of critical parts and supplies.

- Obtain management approval for purchases in accordance with company purchasing procedures.

- Maintain accurate documentation for company credit cards, purchases, receipts, and department expenses.

Vendor and Contractor Management

- Coordinate contractors and outside vendors performing work on the property.

- Verify contractors are properly scheduled, escorted when required, and working safely.

- Inspect completed vendor work for quality and completeness.

- Maintain records of vendor visits, repairs, quotes, warranties, and service agreements

Qualifications

Required Qualifications

- High school diploma or equivalent required.

- Minimum of 3–5 years of maintenance or engineering experience , preferably in a hotel, resort, commercial property, hospital, apartment complex, or similarly complex facility.

- Prior supervisory or lead experience required.

- Strong working knowledge of HVAC, plumbing, electrical, mechanical, and general building systems.

- Experience with preventive maintenance programs and work-order systems.

- Ability to read and understand equipment manuals, maintenance procedures, and basic technical documentation.

- Strong troubleshooting and problem-solving skills.

- Ability to prioritize multiple maintenance issues in a fast-paced resort environment.

- Ability to work independently while effectively leading a team.

- Valid driver's license and acceptable driving record.

- Ability to work flexible schedules, including weekends, holidays, evenings, and emergency call-ins when required.

Preferred Qualifications

- Hotel or resort engineering experience.

- HVAC certification or EPA 608 certification.

- Electrical, plumbing, mechanical, or other relevant technical certifications.

- Experience managing maintenance operations for a large hotel or resort.

- Experience with pool and recreational facility maintenance.

- Experience with generators, boilers, chillers, cooling towers, pumps, or other commercial mechanical systems.

- Experience with renovation and capital improvement projects.

- Experience using computerized maintenance management systems (CMMS).

- Experience managing outside contractors and service agreements.

The position requires the ability to:

- Operate hand and power tools safely.

- Travel throughout a large resort property on a daily basis.
