Position Summary

Provides support to the Practice Manager for the administrative direction and day-to-day delivery of patient-centered, cost-effective healthcare services at one or more assigned practices. Responsible for coordinating patient appointments, diagnostic testing, surgeries, insurance authorizations, and communication among patients, providers, and healthcare teams to ensure efficient clinical operations and exceptional patient service.

Education and Experience

- High school diploma or GED equivalent required.
- Three years of clerical experience required, including six months at a Patient Scheduling Coordinator level or equivalent.

Licensure, Certification, and Registration

- Must complete certification program and maintain accuracy standards.
- Basic Life Support (BCLS) certification required within 30 days of hire.

Essential Responsibilities

Patient Scheduling and Coordination

- Schedule clinical appointments for new and returning patients using independent judgment and discretion to prioritize patient needs through the IDX system.
- Make daily decisions regarding appointment urgency based on patient information, chart review, and established clinical guidelines.
- Coordinate consult services as directed.

Diagnostic Testing and Laboratory Coordination

- Coordinate laboratory work and diagnostic testing utilizing LastWord, NotesLink, Logician, and other applicable systems.
- Anticipate necessary testing and laboratory requirements based on patient needs.
- Coordinate inpatient testing, transportation arrangements, and scheduling based on the patient's condition and testing requirements.

Clinical Support and Documentation

- Ensure patient charts are fully prepared prior to appointments, including chart work-up.
- Process Transaction Editing System (TES) files and obtain requested information.
- Assist with medical coding activities to support accurate billing and documentation.

Surgery and Procedure Scheduling

- Coordinate surgical procedures, including scheduling timeframes, room availability, physician schedules, and equipment requirements.
- Obtain precertifications and coordinate required activities with NCBH.
- Ensure patients receive all necessary procedural information and instructions.

Insurance and Financial Coordination

- Obtain and verify insurance authorizations.
- Review encounter forms and assist with medical coding activities.
- Provide support to patients regarding billing and insurance-related questions.

Customer Service and Communication

- Serve as a resource for patients regarding clinic policies and procedures.
- Facilitate resolution of patient concerns and complaints utilizing appropriate Medical Center resources.
- Accommodate special patient needs, including interpreter services when needed.
- Maintain a strong customer service focus when interacting with patients, providers, and staff.

Training and Professional Development

- Assist in training less experienced personnel as directed.
- Complete required educational and compliance programs.
- Successfully complete the WFUP Certification Program.
- Attend and participate in WFUP Clinical Operations departmental meetings.

Additional Responsibilities

- Perform other related duties as assigned.

Qualifications

- Knowledge of third-party payor requirements.
- Basic knowledge of ICD-9 and CPT coding or willingness to complete related coursework upon employment.
- Data entry accuracy of 5,000 keystrokes per hour with a 3% or lower error rate.
- Ability to function independently in a fast-paced clinical environment.
- Ability to manage multiple priorities simultaneously.
- Experience using IDX, Medipac, and LastWord preferred.
- Experience working with managed care organizations or health insurance companies preferred.
- Strong organizational, communication, and customer service skills.

Work Environment

- Well-lighted, well-ventilated medical office environment with adequate workspace.

Physical Requirements

- Frequent standing, walking, sitting, bending, reaching, and use of finger and hand dexterity.
- Frequent hearing, seeing, and verbal communication.
- Ability to lift, carry, push, and/or pull up to 20 pounds regularly and up to 50 pounds as needed, with occasional requirements up to 100 pounds.
